The Specialist handles incoming calls, and may assist other staff with overflow work, including writing and creating documents, data entry, and running reports. The Front Desk Specialist will greet and direct all visitors, vendors, HIPsters, families, and providers and ensures the completion of applicable paperwork, sign-in, and security procedures. The Specialist will be at a designated HIPster Entrance but could be asked to assist other Front Desk areas as needed. The Front Desk Specialist is the first introduction to My Possibilities, our HIPsters, future families, and My Possibilities Staff. On behalf of MP, the Front Desk Specialist is an encourager to all visitors.
Essential Functions:
Create and maintain a high level of professionalism, customer-centered attitude, and ensure MP is always projected in a positive manner. Operate phone lines, routing all calls appropriately. This includes the use of E-mail or Teams to advise employees of messages or packages. Work closely with all departments utilizing outside contractors. Oversee and manage the front desk and attendance email. Respond, redirect, and answer all emails in a timely manner. Work closely with Human Resources creating staff badges and maintain full confidentiality. Receives, sorts, and distributes mail, packages and supplies to Staff. Oversee amazon orders for all departments. Manage HIPster Tracking Document and attendance, reporting to the appropriate team member when a HIPster is absent or late. Create name badges and sign in all Day of Inclusion groups, tours, and other duties assigned from the supervisor. Ensure all visitors, contractors and volunteers are signed in and have completed the proper documentation to enter the facility by communicating with the appropriate team members and supervisor. Assign and create staff, HIPster, attendant, and visitor badges for building access through BRIVO. Badge HIPsters in and out of the program during program hours. Ensure that the front desk area remains clean, maintained, hazard-free and that all safety protocols are followed in emergency situations. Competencies (Knowledge, skills and abilities): Exceptional interpersonal and communication skills. Ability to work flexible schedules based on desk coverage needs. Excellent verbal and written communication skills Familiar with Microsoft Office, Excel, Teams, SwipeOn, Brivo. Commitment towards HIPster and families, combined with a professional approach. The ability to organize work and to take effective decisions while working under pressure.
Education:
High School Diploma or equivalent
Experience:
Working with adults with IDD. 1+ years' experience as a receptionist or customer service. Specialized Knowledge, Licenses, etc.: Current driver's license, acceptable driving record and valid car insurance required. First Aid, CPR, AED, HIPAA and SAMA certification (Will be provided by My Possibilities).
Pay:
$15.00 - $20.00 per hour
