Job Description

Utah Valley University offers an opportunity for individuals who are energized by helping others to take their first steps toward higher education. As a Welcome Center Advisor Generalist, you serve as the initial point of contact for guests and prospective students, creating a warm, informed, and student-centered experience. This role blends customer service, advising, and problem-solving as you guide visitors through admissions requirements, degree options, Utah residency guidelines, and the university systems they'll use throughout their journey. Advisors in the Welcome Center play a key role in ensuring smooth daily operations while providing clear, accurate information that empowers students to make confident decisions. With a mix of administrative coordination, basic technical assistance, and frontline service, this role allows you to make a direct and positive impact on every visitor's experience at UVU.
Advising, Customer Service, and Frontline Support:
Serves as the first point of contact in the Welcome Center, greeting and assisting guests in person, by phone, and electronically. Provides information and guidance on admissions requirements, policies, resources, degree programs, and Utah residency. Assists students with accessing and using admissions-related systems, including account setup, password resets, application submission, and document uploads. Ensures each visitor interaction reflects a professional and student-focused experience.
Operational and Administrative Support:
Coordinates daily Welcome Center operations, including visitor flow, appointment scheduling, and system updates. Enters and maintains data in Banner and the CRM to track inquiries, applications, and communications. Prepares reports and assists with maintaining accurate records, forms, and documentation. Collaborates with admissions and IT support staff to troubleshoot front-line system issues and escalate complex technical or procedural questions appropriately.
Training, Policy Knowledge, and Continuous Improvement:
Maintains up-to-date knowledge of admissions and residency requirements, policies, procedures, and technology platforms to ensure accurate and consistent advising. Participates in training, staff meetings, and professional development activities. Identifies common student challenges and recommends process or communication improvements to enhance service quality and efficiency.
Events and Special Projects:
Supports admissions and recruitment events, campus tours, and outreach efforts as needed. Assists with special projects to enhance the Welcome Center's operations and visibility. Performs other job-related duties as assigned. Graduation from an accredited institution with an associate's degree plus one year of relevant experience; OR any combination of education and experience related to the Summary of Responsibilities totaling three years.
Preferred Qualifications:
Associate or Bachelor's degree in hospitality, communications, higher education, or related field. Experience in a higher education setting or visitor services environment. Knowledge of university admissions, campus resources, or recruitment processes. Experience handling scheduling, CRM systems, or administrative operations. Demonstrated ability to create a welcoming and professional guest experience. Knowledge Strong knowledge of Utah Valley University programs, resources, and campus services. Familiarity with visitor management, scheduling, and general office operations. Understanding of customer service and hospitality best practices to create exceptional first impressions. Basic knowledge of university systems such as CRM platforms, Banner, and scheduling software. Knowledge of college admission policy and procedures. Knowledge of Utah residency requirements. Knowledge of international student admission and visa protocol. Skills Excellent verbal and written communication skills, with the ability to engage a wide range of visitors professionally and warmly. Strong organizational and multitasking skills to manage walk-ins, appointments, and administrative duties efficiently. Problem-solving and critical thinking skills to address guest questions and unexpected situations effectively. Attention to detail and accuracy in data entry, recordkeeping, and maintaining front desk systems. Interpersonal skills to foster a welcoming and safe environment for all guests. Abilities Ability to anticipate guest needs and proactively create a seamless and memorable visitor experience. Capacity to handle multiple tasks simultaneously while maintaining a professional and hospitable demeanor. Ability to escalate complex inquiries appropriately and collaborate with other staff as needed. Ability to maintain confidentiality and handle sensitive information responsibly. Flexibility to adapt to changing priorities and schedules to support daily operations of the Welcome Center.
