Job Description

Overview Seeking an experienced and results-driven Events Assistant to support our Events Manager in the planning, coordination, and execution of a wide range of events. The ideal candidate will bring experience in event planning, hospitality operations, client relations, and revenue generation, with the ability to assist in managing all phases of the event lifecycle, from sales support and contract coordination to event execution and post-event evaluation. Proven success in helping deliver exceptional guest experiences while coordinating weddings, corporate retreats, conferences, community events, and special programs. Strong organizational skills, attention to detail, and a background in hospitality operations, team collaboration, and event logistics are essential.
Responsibilities:
Event Planning & Coordination:
  • Coordinate and execute all phases of events, including weddings, corporate retreats, conferences, and community events.
  • Serve as the primary point of contact for clients, vendors, and internal stakeholders throughout the event planning process.
  • Develop event timelines, logistics plans, budgets, and operational schedules to ensure successful event execution.
  • Manage venue setup, event production, staffing, and onsite coordination to deliver seamless guest experiences.
  • Oversee vendor selection, contract negotiations, and relationship management.
Event Sales & Client Relations:
  • Identify and secure new event opportunities to drive revenue growth.
  • Conduct client consultations, site tours, and proposal development.
  • Maintain strong client relationships while ensuring expectations are exceeded from planning through event completion.
  • Collaborate with leadership to develop strategies that increase bookings and event profitability.
Qualifications:
  • Experience in event coordination, hospitality, or operations management
  • Background in hospitality operations, guest services, and venue management
  • Experience managing budgets, vendor contracts, and financial reporting
  • Proven ability to lead teams, manage staffing functions, and oversee multiple priorities simultaneously
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work flexible schedules, including evenings, weekends, and holidays as required by event schedules
  • Multilingual or bilingual proficiency is a plus.
  • Ability to perform effectively under pressure while managing multiple tasks efficiently.
Experience Previous experience in event planning, hospitality, or restaurant management is highly desirable Strong negotiation skills for vendor contracts and service agreements Knowledge of event marketing strategies and upselling techniques to maximize engagement and revenue Experience with banquet operations or hotel event services is a plus Excellent communication skills for liaising with clients, vendors, and team members effectively Demonstrated ability to manage multiple tasks efficiently through excellent time management and organizational skills Familiarity with budgeting processes, contracts, catering coordination, and guest services in a hospitality setting Join us as a Special Events Assistant to bring your passion for events to life!
