Job Description

Event Coordinator (Weddings + Event Day Execution) Berkeley, CA Job Details Part-time | Contract $25 - $38 an hour 15 hours ago Qualifications Google Docs Logistics management Vendor management Wedding planning Project timeline management Canva Patience Apple Pages Guest services Communication skills Entry level Full Job Description Event Coordinator (Weddings + Event Day Execution) Bay Area, CA | Part-Time | Event-Based | 1099 Independent Contractor | $25-$35/hr DOE I'm looking for a reliable, experienced Event Coordinator to support weddings and events throughout the Bay Area. This is a hands-on, on-site role. You will be running wedding rehearsals, supporting event days from setup through breakdown, managing timelines, coordinating vendors, and working directly with clients, wedding parties, and guests. You will also assist with behind-the-scenes planning and logistics during the week. This is a 1099 independent contractor position , not an employee role. You are responsible for your own taxes and benefits. If you need constant direction or struggle under pressure, this is not the right fit. If you are calm, organized, and know how to keep an event moving smoothly even when things shift in real time, this would be a good fit for you. Growth Path / Opportunity This position is designed to grow. You will start as my assistant coordinator, supporting me directly at rehearsals and wedding days so you can learn my systems, flow, and standards. After approximately 3-6 months (or sooner depending on performance, reliability, and readiness) , there is an opportunity to transition into Lead Coordinator roles , where you will run weddings independently. In that role, you would be fully trusted to lead events on your own and would earn approximately double the compensation per event . This is not a short-term gig — it is intended for someone who wants to build a real career in weddings and grow into leadership. What You'll Be Responsible For Event Days (assisting with) Run or support wedding day coordination from start to finish Manage timeline flow and keep the event on track Coordinate vendors during load-in, execution, and breakdown Troubleshoot issues calmly and efficiently without escalating stress Support guests, wedding party, and families as needed Ensure all client items, décor, gifts, and rentals are accounted for at the end of the night Confirm vendor needs are handled (meals, timing, access, etc.) Rehearsals (assisting with) Run wedding rehearsals confidently and efficiently Direct processional and recessional order Manage timing, cues, and flow so the couple and wedding party feel prepared Keep things moving without overcomplicating the process Admin + Planning Support Assist with timelines, run-of-show documents, and event logistics Help create and manage rental orders and planning documents Support décor and event design layouts (Canva, Google Docs, Pages, etc.) Communicate with vendors as needed before events Occasional office/admin support (1 day per week when needed) What I'm Looking For I am a small business owner, and I take this work seriously because our clients are trusting us with one of the most important days of their lives. I'm looking for someone who genuinely cares about the work they do, not just someone looking for a job. This role requires the highest level of work ethic, reliability, and professionalism. You must be someone who shows up fully, stays engaged, and takes pride in execution.
The right person is:
Positive, upbeat, and calm under pressure Able to think on their feet and step into leadership when needed Kind and respectful to everyone (clients, vendors, guests, and team members) A strong communicator who can stay clear and composed in fast-moving environments Someone who wants to grow in this industry and build a long-term career in events or weddings You don't have to know everything — anyone can be trained — but attitude, presence, and work ethic cannot be taught. Applicants must provide 3 professional business references (no friends or family) with contact information. Schedule Part-time, event-based role Typically 1 rehearsal + 1 event per week during busy season Additional admin hours depending on workload Seasonal rhythm (busier May-October, lighter winter months) Compensation $25-$35/hr depending on experience Paid per event/project 1099 independent contractor role Opportunity to grow into Lead Coordinator roles (with significantly higher per-event compensation) How to Apply Please send: A short introduction about your event experience Your resume A list of 3 professional business references (no friends or family) A note on what kinds of events you've worked on and your specific role
Pay:
$25.00 - $38.00 per hour
Work Location:
On the road
