Schedule:
Mostly Tuesday through Saturday, with significant weekend and evening requirements based on the event calendar. This position is responsible for exceeding our customers' expectations while helping create memorable experiences that support wine sales, brand loyalty, and long-term customer relationships. Summary Description At Heringer Estates, we are a small yet multi-faceted farming and winery operation. We are looking for a multi-talented Events and Wedding Coordinator to run and manage winery events, private events, and weddings at the Heringer Vineyard Estate. In reality, no one should have a single job description in a family operation. We are looking for someone who can be the voice of Heringer Estates, the welcoming family member who greets guests on their first visit, and the glue that holds the team together during the execution of an event. If that sounds like you, read on. Position Responsibilities The Events and Wedding Coordinator is responsible for all event operations at the Heringer Vineyard Estate. This includes developing, scheduling, selling, executing, and improving weddings, winery events, and private events. This role is responsible for preparing both the team and the environment to ensure exceptional customer service at all times. The coordinator will help create an event experience from the ground up by integrating marketing, ambiance, wine presentation, guest interaction, vendor coordination, and clear team communication.
Key responsibilities include:
Responding to event inquiries in a timely and professional manner. Conducting site tours for prospective wedding and private event clients. Helping close event contracts and meet revenue goals. Planning, overseeing, executing, and attending private events, winery events, and weddings as needed. Managing event details, timelines, setup, staffing needs, vendor coordination, and day-of execution. Ensuring the property is clean, safe, organized, and event-ready. Creating and improving systems that support a smooth, polished, and memorable guest experience. Recruiting, training, scheduling, supervising, and supporting event staff. Helping create a positive, team-centered environment built on calm leadership, consistency, accountability, and strong communication. Training team members on hospitality standards, event expectations, food handling, alcohol service, and company procedures. Maintaining accurate event records, contracts, POS information, reports, and internal communication. Ensuring tasting notes, marketing materials, signage, displays, and event information are accurate, current, and guest-ready. Supporting event promotions through social media, email, and other marketing efforts. Tracking and managing wine and retail inventory related to events. Generating reports and providing helpful insight to the management team. Operating at all times with integrity, loyalty to the team, and care for the Heringer Estates brand. Additional Responsibilities This position works closely with the family, tasting room team, wine club team, and event staff to create seamless customer experiences that drive sales, strengthen brand loyalty, and encourage guests to return. The Events and Wedding Coordinator may also be responsible for managing and coordinating various projects as assigned by the leadership team. As with most roles in a family business, the right person will be willing to step in where needed, identify opportunities for improvement, and help the company succeed beyond the boundaries of a narrow job description. Preferred Experience and Background We are looking for someone who is a fast learner, comfortable multi-tasking in a constantly changing environment, and a self-starter who is willing to identify a need and take action. The ideal candidate will have a positive, can-do attitude, strong organizational skills, and the ability to remain calm under pressure. They should enjoy people, take pride in hospitality, and understand that events are both a meaningful guest experience and an important revenue channel for the business. Minimum Requirements Minimum of 3 years of related experience in hospitality, events, weddings, catering, luxury goods retail, or the wine industry preferred. Wine industry experience with premium wines is a plus. Bachelor's degree, wine industry training, event training, marketing experience, or related certifications are a plus. Strong communication, sales, and follow-through skills. Comfortable conducting tours, speaking with clients, and helping close event business. Ability to work evenings, weekends, and some Sundays based on the event schedule. Must have a valid driver's license and clean DMV driving record. Ability to lift up to 40 pounds and stand for long periods of time. Food handler and responsible beverage service certifications preferred or willingness to obtain. Compensation Hourly compensation commensurate with experience and industry standards. Some benefits may be available.
