Job Description

Job Summary The Dublin Ranch Event Coordinator is responsible for organizing and executing a wide range of events, from weddings, corporate meetings, and conferences to social gatherings and community activities. This person has strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Event Coordinator will work closely with clients, vendors, and internal teams to ensure every event runs smoothly and meets or exceeds expectations. Key Responsibilities Event Planning & Coordination Meet with clients for detail appointments to determine final event objectives and logistical requirements. Develop detailed event plans and timelines Vendor Management Manage arrival and delivery schedules. Serve as the main point of contact for all vendors and partners leading up to and during the event. Budget & Administrative Duties Take event photos for marketing Update all BEO's as changes occur On-Site Event Execution Oversee event setup, operation, and teardown. Coordinate and direct Banquet Captain, staff, volunteers, and vendor teams. Troubleshoot issues in real time, ensuring smooth event flow and guest satisfaction. Conduct pre- event briefings to review menu, timelines, service standards, and key details Post-Event Responsibilities Conduct post-event evaluations, client debriefs, and performance analysis Gather feedback and identify improvement opportunities for future events Closeout event in POS Sign off on event Closing Duties Key Competencies Attention to detail Time management and multitasking Calm under pressure Client service orientation Creativity and resourcefulness Join our team as an Event Coordinator if you thrive in fast-paced environments where creativity meets meticulous planning.
