Social Event Coordinator Crowne Plaza Hotel Foster City, CA Job Details Full-time $30 - $32 an hour 10 hours ago Benefits Paid holidays Health insurance Dental insurance 401(k) Paid time off Vision insurance Employee discount Opportunities for advancement Qualifications Customer communication Teamwork Interpersonal skills Attention to detail Banquet experience Time management Full Job Description Job Overview The Social Event Coordinator is responsible for coordinating and supporting the planning and execution of social events including weddings, quinceañeras, birthday celebrations, galas, holiday parties, reunions, and other special occasions. This role also provides administrative and operational support to the Director of Sales & Marketing (DOS) and Catering leadership team while ensuring exceptional guest service and seamless event execution. The ideal candidate is organized, detail-oriented, customer-focused, and passionate about hospitality and event planning. Key Responsibilities Event Coordination & Client Relations Coordinate all aspects of social events from initial planning through event completion Assist clients with menu selections, floor plans, timelines, décor coordination, and event details Prepare Banquet Event Orders (BEOs), event resumes, and internal communication documents accurately and timely Conduct planning meetings and communicate event details to hotel departments including Banquets, Culinary, Front Office, Housekeeping, and Engineering Serve as a point of contact for clients during event setup and execution Ensure event spaces are properly set according to client specifications and hotel standards Monitor event flow and assist in resolving guest or operational concerns promptly and professionally Support catering sales efforts by responding to inquiries, conducting site tours, and assisting with proposals and contracts Build strong relationships with clients, vendors, decorators, DJs, photographers, and other event partners Maintain high standards of customer service and guest satisfaction Administrative Responsibilities Provide administrative support to the Director of Sales & Marketing and Catering leadership team Prepare and distribute daily, weekly, and monthly sales and event reports Maintain accurate records of bookings, contracts, deposits, and event documentation Assist with calendar management, scheduling meetings, and coordinating department communications Update and maintain Delphi, Opera, or other sales and catering systems with accurate client and event information Track event deposits, billing status, and final reconciliations as needed Assist with preparation of sales presentations, proposals, marketing materials, and client correspondence Support department organization, filing systems, and operational procedures Assist with forecasting reports, pace reports, and productivity tracking Operational Support Support the Director of Sales & Marketing with department projects, initiatives, and administrative tasks Participate in pre-conference meetings, weekly sales meetings, and operational meetings Assist with promotional events, bridal shows, networking events, and community outreach opportunities Collaborate with hotel departments to ensure smooth communication and execution of all group and social events Maintain confidentiality of client and hotel information Qualifications Previous hospitality, catering, event coordination, or administrative experience preferred Experience within a full-service hotel environment strongly preferred Excellent communication and interpersonal skills Strong organizational, multitasking, and time management abilities Ability to work in a fast-paced environment and manage multiple priorities simultaneously Professional appearance and customer-focused attitude Proficiency with Microsoft Office, Delphi, Opera, and other hotel sales systems preferred Flexible schedule including evenings, weekends, and holidays as business demands require Preferred Skills Strong attention to detail and accuracy Ability to remain calm and solution-oriented under pressure Strong teamwork and collaboration skills Professional written and verbal communication skills Passion for hospitality and creating memorable guest experiences Benefits Competitive salary and incentive opportunities Health, dental, and vision insurance Paid time off and holiday pay Hotel discounts Career advancement opportunities within hospitality and event management
