Overview And Responsibilities:
The Event Coordinator provides high level administrative and operational support to the Executive Producers, Director, and Event Producer. This role is integral to the daily function of the department and requires exceptional communication skills, outstanding judgment, and the ability to manage complex and evolving priorities in a fast paced environment. We are seeking a highly organized and dynamic Event Coordinator to join our team. In this role, you will be responsible for helping execute a variety of events from inception to completion. The ideal candidate will have excellent communication and multitasking skills, a keen eye for detail, and the ability to manage multiple projects simultaneously under tight deadlines. Responsibilities include, but not limited to: Support the Executive Producers, Executive Director, and Event Producer with complex scheduling, calendar management, and day to day administrative needs. Facilitate communication across departments, ensuring timely and accurate information flow. Track departmental projects, priorities and industry trends. Take detailed notes during meetings and calls. Exercise discretion when handling sensitive and confidential information. Help plan and coordinate all aspects of events, including logistics, venue selection, and scheduling. Communicate with clients to understand their needs and objectives for each event. Negotiate contracts and coordinate with vendors and suppliers to ensure timely delivery of services. Develop detailed event timelines and ensure all team members and vendors adhere to schedules. Basic Qualifications Bachelor's degree or equivalent combination of education and relevant work experience, preferred. 1-2+ years of administrative or coordinator experience, ideally supporting senior-level executives in an event company 2-3 years' experience in event coordination, hospitality, VIP services, or premium brand activations Strong vendor management skills with experience coordinating hospitality services and event logistics Excellent organizational and project management skills; ability to manage multiple concurrent projects Proficiency with Google Workspace Calm under pressure with ability to handle last-minute changes and unexpected challenges Willingness to work flexible hours including evenings and weekends during event periods Proficiency in Microsoft Office Suite and standard business tools; knowledge of creative production tools (Final Draft, Photoshop, etc) a plus.
Additional Information:
Hiring Salary Range:
$28-$38 per hour. Salary discussion after 1 year anniversary
