Candidate should have desk experience, as well as an interest in entertainment, policy, and advocacy. Position works collaboratively with the Communications, Policy, and Operations departments. Specific responsibilities include scheduling, preparing expense reports, managing membership and contacts databases, proofing and editing documents to ensure consistency, and travel coordination, reception, and more extensive general assistant duties. We are seeking a proactive, detail-oriented individual who loves a challenge, is not afraid to ask questions, and is willing to dive in and take ownership of their role. Key success factors for this role include being a multi-tasker, strategic and creative thinker, idea-generator, problem solver, and self-starter. A successful candidate for this role will be adaptable and responsive, adhere to strict, agreed upon deadlines, and have the ability to work under pressure, both independently and collaboratively. This candidate should have a strong team orientation, excellent interpersonal and written communication skills, a fine attention to detail, and the desire to learn and grow.
RESPONSIBILITIES
Executive Support:
Manage the daily schedule, including coordinating a general schedule, the scheduling of local recruitment events and speaking engagements, dinners, receptions, screenings, and conferences Manage logistics for meetings with CreativeFuture Board members, studio colleagues, Members of Congress and staffers, business leaders, and creative community VIPs Maintain CreativeFuture's creative community recruitment database, including updating the CEO's address book periodically and when new entries are made Compile monthly expenses Proof and edit documents
Meeting/Event Coordination:
Manage the preparation of video meeting links, documents, suite/parking instructions, or reservations are prepared ahead of any scheduled meeting, and communicate all relevant details for company events, outings, and meetings with the CreativeFuture team members
Office Management:
Act as the face/voice of the organization for visitors and callers Maintain and refill office and kitchen supplies in the break room Be aware of all vendor services required for office operations and ensure consistency of their service by using tracking spreadsheets, including: Shred-It pickups, office cleaners, couriers, telecommunications providers, and various office suppliers Liaise with IT consultants to track IT support tickets through Airtable tracking sheet, coordinating projects between consultants and internal staff, and maintaining IT inventory Track and log purchases made on behalf of the company and track other finance-related items to assist the Financial Consultant Assist the EVP, Public Policy and External Affairs, with tracking company's D.C. lobbying hours for monthly reporting Coordinate logistics and waivers for all staff outings Liaise with building management to track and coordinate building support tickets, office maintenance projects, and vendor requests Assist with other office management tasks, including but not limited to: Running errands or pick-ups around town, distributing and sending mail, sourcing and distributing gifts for VIPS and company colleagues
Travel Coordination:
Coordinate all travel (flights, cars, hotels, restaurants, itineraries, etc.) for CEO, staff, and guests for all company trips. Have a working knowledge of procedures for booking international travel reservations. Log and code all travel/event expenses for quarterly trips in tracking spreadsheets for use in budgeting process Act as point of contact for external parties while team is on the ground during D.C. quarterly trips. Monitor progress of trips, including: all meetings, dinners, events, and various vendor services, and anticipate and resolve any issues on behalf of the team Maintain a history of previous trip records, guests, meetings, invoices, receipts, and any other documentation
QUALIFICATIONS
- Bachelor's degree
- Solid writing, editing, and verbal communication skills, including a knowledge of AP writing style
- Proficiency with MacOS
- Proficiency in Microsoft Office Suite, Adobe Suite, and web conferencing, such as Zoom
- TV/Film industry knowledge and experience and interest in politics and advocacy campaigns a plus
- Experience with operations and logistics a plus
- Must be in Los Angeles, California and willing to working full-time in an office environment
