Summary of Role:
The Events & Sales Administrative Assistant is primarily responsible for coordinating hotel and restaurant events and supporting revenue-generating activities. This role plays a key part in managing event logistics, group bookings, rooming lists, and event documentation to ensure seamless execution and a strong guest experience. The position works closely with the sales team to support event-driven revenue initiatives for Shashi Hotel by maintaining accurate records, coordinating details across departments, and ensuring timely communication throughout the event lifecycle. Additional administrative support for hotel, food and beverage, and sales leadership and teams will also be provided as needed. Responsibilities:
Support the coordination and execution of group bookings, restaurant events, and catered functions, ensuring accuracy, organization, and a high-touch guest experience. Assist with preparing, updating, and distributing Banquet Event Orders (BEOs) and related event documentation. Provide on-site administrative and coordination support during events as assigned. Support the Sales team with administrative coordination, organization, and follow-up for group dining, catering, and event sales. Conduct proactive outreach as directed (e.g., follow-up on inquiries, warm leads, repeat clients, and past event contacts) to support booking conversion and relationship management. Support basic sales reporting, pipeline tracking, and organization of sales records. Provide administrative and organizational support to the Hotel General Manager and Restaurant General Manager, assisting with day-to-day operational needs across departments as needed. Perform additional duties and special projects as needed to support departmental revenue goals and overall company objectives. Competencies:
Communicate clearly, courteously, and professionally with guests, clients, and team members while handling information with appropriate discretion. Strong proficiency in completing administrative tasks, maintaining organized records, and ensuring information is entered, reviewed, and updated correctly. Eager and able to learn new systems and procedures, adapts to changing priorities, and applies training and feedback consistently. Previous food & beverage, as well as administrative experience required.
