Full Job Description Job Summary:

The SMUD Museum of Science and Curiosity (MOSAC) is looking for a Coordinator, Events and Public Programs to help deliver high quality and engaging events and programs that bring our community together. This role also brings MOSAC to life as a distinctive event venue, where rentals and programs are delivered in a unique science center environment that reflects creativity, curiosity, and hands-on learning. This role plays an important part in the coordination and execution of MOSAC's events and public programs, including facility rentals, birthday parties, and museum led experiences. Working closely with the Manager of Events and Public Programs, this position helps turn ideas into well organized, welcoming, and smoothly run experiences for visitors of all ages and experience levels. The Coordinator supports the full lifecycle of facility rentals, public programs, and events, from inquiry and logistics coordination through on-site execution and successful delivery. This role collaborates across departments to ensure alignment, clear communication, and a consistently strong visitor experience. Qualifications:
Must be at least 21 years of age to coordinate or support events involving alcohol service, including purchasing alcohol for event inventory, in compliance with applicable laws and organizational policies. High school diploma or equivalent required Associate's degree (AA or AS) in hospitality, event management, communications, business, or a related field preferred, or an equivalent combination of education and relevant experience. 1 to 2 years of experience in event coordination, hospitality, education programs, or related field Experience working in fast-paced, customer-facing environments Experience supporting public programs, educational programs, or museum events is a plus Familiarity with scheduling, booking, or event management systems preferred

Duties/Responsibilities:
Coordinate, schedule, and support public programs, birthday parties, and private rentals from start to finish Support public program planning and coordination with internal teams, partners, and community groups Oversee alcohol service at special events hosting a cash-bar Assist with liquor license documentation, alcohol inventory management, and compliance with responsible beverage service policies Respond to inquiries promptly and professionally, and provide site tours for prospective clients, partners, and community groups Prepare quotes and support contracting, including insurance, permits, and required documentation Serve as on-site coordinator to ensure events and programs run smoothly, on time, and meet quality standards Support event setup and breakdown, including moderate physical tasks such as moving and arranging tables, chairs, equipment, and other event materials Coordinate staffing needs, setup, and other logistics across departments Troubleshoot real-time issues with professionalism and sound judgment Work with internal teams, vendors, partners, and clients to ensure clear expectations and strong communication Support coordination and logistics with vendors, community partners, and internal teams to ensure smooth execution Maintain accurate event records, timelines, and documentation Represent MOSAC at external and community events as needed Support evaluation and continuous improvement of programs and events Perform other duties as assigned
Physical Requirements:
Ability to work on the museum floor for extended periods of time Ability to stand, walk, bend, and lift materials up to approximately 30 pounds Ability to work evenings, weekends, and holidays as needed Comfortable working in a high-traffic, public-facing environment This position is represented by the Communications Workers of America (CWA) and is subject to the terms and conditions of the applicable collective bargaining agreement (CBA). This position is at will, non-exempt.
