REPORTS TO:
Assoc. VP of GVE Join our dynamic team at Jamestown and help create vibrant, engaged community spaces! We are seeking a highly organized, innovative, and community-minded Programming & Events Coordinator to oversee day-to-day operations and lead event activation for our community space in Mountain View, CA. This role is dedicated to planning, curating, and executing dynamic public programming, community activations, and corporate events that foster an inclusive, vibrant atmosphere. The ideal candidate bridges the gap between creative curation and complex logistical design, bringing unique, innovative event concepts to life while driving large-scale quarterly initiatives that reflect Jamestown's core values.
KEY RESPONSIBILITIES
Event Curation, Innovation & Programming Innovative Curation:
Develop and implement ongoing community programming, cultural activations, and local event collaborations to bring fresh, creative concepts to the space.
Large-Scale Event Management:
Lead the curation, planning, and execution of signature quarterly events and large-scale community activations. Partner with the support team to direct all programming, spatial layouts, and on-site operations.
Community Engagement:
Build and nurture relationships with local groups, nonprofits, and small businesses to maximize community involvement and diversify programming partnerships.
Stakeholder Alignment & Partner Approval:
Manage the event approval pipeline, collaborating closely with internal stakeholders and external partners to ensure all programmed events align with brand standards and receive formal partner sign-off prior to execution.
Trend & Placemaking Research:
Monitor industry trends, placemaking principles, and programming best practices to consistently innovate event offerings.
On-Site Operations & Event Execution Site Operations:
Manage the day-to-day operations of all community spaces—including lounges, event areas, and outdoor spaces—to ensure optimal organization, cleanliness, and functional maintenance.
On-Site Logistics & Layouts:
Lead end-to-end event logistics and spatial layout design, overseeing technical support, A/V configuration, catering, furniture setups, and safety compliance.
Vendor Coordination:
Coordinate and oversee third-party vendors for all site requests, including operational maintenance, technical installations, and specialized event services.
Booking & Process Management:
Manage the space booking pipeline collaboratively with the support team, communicating protocols and layout guidelines clearly to reserving groups while overseeing the execution of booking agreements, collection of Certificates of Insurance (COIs), and tracking of all event payments.
Inventory Control & Asset Tracking:
Monitor and maintain a detailed inventory of all site equipment, electronic devices, and physical assets across all designated community spaces.
Event Promotion & Public-Facing Communication:
Draft clear, engaging, public-facing event descriptions for digital calendars, marketing materials, and newsletters to drive community attendance.
Problem Solving, Content & Analysis:
Deliver adaptive solutions for day-of challenges, capture live photo/video content for social media, and generate post-event reports to evaluate community impact.
Team Support, Values & Administration Staffing & Scheduling:
Help coordinate scheduling of onsite greeters and temporary event staff to ensure seamless event execution.
Values Alignment:
Ensure all programming initiatives actively reflect and advance organization values of inclusivity, sustainability, and community involvement.
Training Documentation:
Maintain and update training resources to ensure consistent service excellence across the team.
Administrative Support:
Manage core administrative functions, including expense reporting, budget tracking, travel arrangements, and meeting preparation.
EXPERIENCE AND SKILLS
A minimum of 2 - 4 years of experience in site management, event coordination, hospitality, or a related field. Any combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job. Proven ability to manage multiple projects simultaneously, with strong organizational skills. Excellent communication and interpersonal skills, capable of fostering positive relationships with diverse stakeholders. Acute attention to detail and quality assurance; a proven eye for design, polish, and operational excellence with an ability to manage micro details to ensure project accuracy. Strong proficiency in Google Workspace; familiarity with project management software and event management tools is a plus. Creative problem-solving skills, with the ability to adapt quickly to changing conditions. Self-motivated, team-oriented, and capable of working independently with minimal supervision. Flexibility to work evenings, weekends, and holidays as required by event schedules. Must be able to lift 25 lbs.
QUALIFICATIONS
Experience in a customer-facing or community engagement role is preferred. Knowledge of placemaking principles and community programming best practices.
SCHEDULE
Mandatory onsite requirement: Sunday - Thursday, 8:30 am - 6:15 pm (Mountain View, CA)
Schedule Flexibility:
Responsibilities may require an adjusted work schedule, travel, overtime, and evening / other weekend hours to meet deadlines and special events.
