Job Description

We are seeking a highly skilled and strategic Event Manager for our growing client in Santa Cruz! Responsibilities (Onsite) The Event Manager is responsible for planning, coordinating, and executing on-campus programs for external groups and faculty partners This role serves as the operational lead for assigned programs, ensuring all logistical elements are aligned and executed with precision This position works cross-functionally with multiple campus departments to support concurrent multi-day programs while maintaining a high standard of organization, communication, and guest experience Plan and manage logistics for on-site multi-day learning programs, conferences, workshops, and special events Serve as primary point of contact for clients, faculty, and program leaders before and during their time on campus Develop detailed schedules, operational timelines, and program documentation Finalize and communicate logistics including space setup, meal timing, AV needs, lodging coordination, and special requests Monitor program execution and proactively resolve operational challenges Cross-Department Coordination Coordinate closely with culinary, facilities, AV, guest services, reservations, and other campus teams Communicate program updates clearly and consistently to impacted departments Manage multiple concurrent programs while maintaining accuracy and attention to detail Support billing reconciliation, reporting, and post-program follow-up Support welcome sessions, program launches, or orientations as needed Maintain ongoing communication to ensure a positive campus experience Gather feedback and identify opportunities for continuous improvement Active, guest-facing campus environment Combination of planning work and on-site operational execution Requires standing, walking, and occasional lifting up to 25 lbs Qualifications 3+ years of event management experience Guest & faculty Experience Welcome and orient clients and faculty upon arrival Professional experience managing programs or events for a campus or venue hosting external groups on-site Experience supporting multi-day programs or concurrent events Demonstrated ability to coordinate across operational departments Strong organizational, communication, and problem-solving skills Ability to work evenings and weekends based on campus programming needs Strong operational awareness and attention to detail Ability to manage competing priorities in a dynamic environment Professional, clear communication across departments and clients Calm, solution-oriented approach under pressure Commitment to service excellence and campus standards Evening and weekend availability required based on program schedules
Pay:
$72,000.00 - $80,000.00 per year
