Job Description

Primary Objective The Trade Show and Events Coordinator owns the events function across all of our operating companies. The role runs the logistics for the trade shows our teams attend, plans and executes our own group meetings end-to-end, and builds the systems that let us see and optimize our total event spend across the portfolio. The right person is a strong project manager who is equally comfortable negotiating with a venue, chasing a vendor sponsorship payment, and pulling a clean spend dashboard together. AI tools are used as a daily part of how the work gets done to increase productivity and quality.

Domestic, <25%, primarily user group meetings and selected trade show on-sites Key Responsibilities User Group Meetings Plan and execute our user group meetings end-to-end. Own venue selection and contracting, room blocks, F&B and catering, AV, signage, and on-site logistics. Manage the customer invitation, registration, and communication cycle, including reminders and post-event follow-up.
Manage vendor sponsorship:
invite vendors, sell and confirm sponsorship slots, collect payment, and coordinate vendor on-site logistics. Build and maintain a project plan template so each event runs to a known cadence rather than from memory. Trade Show Logistics Coordinate logistics for the trade shows our entities attend: registration, booth space, shipping, booth setup and teardown, materials, and on-site execution support. Manage relationships with show organizers, booth builders, freight, and printers. Track deadlines, contracts, and event requirements across a multi-entity calendar so nothing slips. Support post-event lead capture handoff to sales and the marketing systems. Conference Attendance Tracking and Spend Optimization Build and run a system that tracks which of our sales and other team members attend which conferences and trade shows across the portfolio. Maintain a shared, multi-entity events database / calendar that gives leadership and sales a single source of truth on what we're attending and who is going. Track total event spend (registration, booth, travel, sponsorships, swag) and produce a recurring read-out that supports decisions on where to invest, scale back, or skip. Partner with finance and leadership to keep budgets, accruals, and spend categorization clean. Swag and Promotional Inventory In coordination with the Marketing Specialist and leadership, manage swag, branded materials, and event collateral inventory across entities. Coordinate ordering, storage, and shipping so the right materials are at the right show without overspending or running out. Maintain consistent branding across promotional items and event presence as the portfolio brand structure evolves. AI-Native Workflow Use AI tools (e.g Claude) daily to increase productivity and quality: drafting communications, summarizing meetings, building checklists, analyzing spend, and automating routine coordination tasks. Identify and roll out workflow improvements that make event planning faster and less error-prone. Qualifications 2-5 years in event coordination, trade show management, or related logistics-heavy roles. Demonstrated experience running multi-day events end-to-end: venues, contracts, F&B, AV, registration, and on-site execution. Strong project management and organizational skills; comfortable owning many moving pieces across multiple events at once. Comfortable with budgets, vendor invoicing, and basic spend reporting. Strong written and verbal communication; equally credible with vendors, customers, and internal stakeholders. Demonstrable, current use of AI tools (Claude Cowork, or similar) in a professional application, not just exposure. Self-directed; comfortable working onsite and remotely and supporting multiple business units across US time zones. B2B / industrial / distribution event experience is a plus. Success Metrics User group meetings executed on time, on budget, with strong customer and vendor satisfaction. Trade show logistics handled cleanly across the portfolio, with zero missed deadlines. A working, trusted view of who is attending what and what we are spending across all entities. Year-over-year reduction in waste and improved ROI on total event spend. Vendor sponsorship revenue collected fully and on time. Physical Demands and Work Environment Flexible hybrid schedule, primarily desk-based work with extended computer use, plus on-site execution at user group meetings and selected trade shows. Occasional travel <25% travel; some periods heavier around event windows. Occasional lifting of up to 25 pounds for booth materials and event setup. Standing and walking for extended periods at on-site events.
Pay:
$26.82 - $32.30 per hour
