Job Description

Operations and Events Assistant Dept:
Administration and Public Programs Reports to: Operations and Administration Sr.
Manager Task Direction from:
Public Programs Coordinator and Director of Development Status:
Part-time, non-exempt -up to 32 hours
Schedule:
Monday-Friday, and the ability to work some evenings and weekends for museum events with flex time off
Compensation:
$18.50/hr Summary The Operations & Events Assistant provides essential hands‑on support across museum operations, events, and administrative functions. This role strengthens organizational capacity by assisting with event logistics, supply management, basic administrative tasks, and on‑site operational needs. The position supports the Administrative & Operations Senior Manager, Public Programs Coordinator, and Director of Development & Communications through clearly defined task‑based workflows, ensuring smooth daily operations and reducing burnout during peak seasons. This role is ideal for someone who enjoys active, varied work; supporting public programs; and contributing to a positive visitor and staff experience across all museum sites. Key Responsibilities Event Support (Public Programs Coordinator - Task Direction) Assist with event setup and teardown, including tables, chairs, signage, and materials. Provide day‑of event support such as volunteer coordination, wayfinding, and guest assistance. Assist in planning as needed. Serve as on‑site support during programs and community events as assigned. Coordinate with vendors for deliveries, pickups, and event needs. Ensure event spaces are clean, organized, and prepared according to event plans. Operational Support (Admin/Operations Sr. Manager - Primary Supervisor) Serve as the "person in the building" for contractors, vendors, and scheduled maintenance. Perform purchasing and supply runs for events, programs, and general operations. Maintain supply inventories and restock materials as needed. Assist with document filing, basic data entry, and administrative organization. Support the AOSM with internal processes, SOP updates, and operational tasks. Assist with maintaining clean, safe, and organized work and public spaces. Communications & Marketing Support (Director of Development and Communications - Limited Task Direction) Distribute posters, flyers, and promotional materials in the community. Set up printed signage at museum sites for events and programs. Transport materials or supplies needed for marketing or development activities. (
Note:
This role does not create content, design materials, or manage social media.) Qualifications Experience in customer service, events, hospitality, or operations preferred. Ability to work independently, take direction, and manage multiple tasks. Experience in Google Workspace and project management tools such as Trello is a plus but not required Strong communication and teamwork skills. Comfortable with physical tasks including lifting up to 50 lbs, moving equipment, and working indoors/outdoors. Reliable transportation for errands and inter‑site travel. Interest in museums, public programs, or community engagement is a plus. Working Conditions:
Work areas are principally inside, in a climate-controlled environment with moderate background noise. Work is also performed outdoors, in variable weather. Shift times may vary to meet museum requirements to staff the facilities. Work may require long periods of sustained standing or sitting, and the ability to occasionally lift and carry up to 50 pounds.
