Job Description

JOB DESCRIPTION
Winterthur is seeking Part Time Event Coordinators to work with the Audience Engagement Team in executing internal events across the estate. Event Coordinators play a key role in ensuring exceptional hospitality and seamless event operations. Responsibilities include coordinating with the internal catering team, assisting with event setup and breakdown (which may involve physically moving tables, chairs, market stands, fire pits, and other event items, as well as placing and setting décor), communicating with vendors and transportation drivers, and providing on-the-ground support in areas such as wayfinding, safety, and ticketing. This is a year-round, part-time position working as part of a collaborative team, with opportunities to grow independently managing smaller-scale events. The ideal candidate is confident working in a fast-paced environment, comfortable interacting with both guests and internal teams, and able to problem-solve and adapt quickly as needs arise during events.
Compensation:
$20.70
Work Schedule:
Tuesday-Sunday, mostly weekend days and/or evenings
Responsibilities:
Ensure excellent customer service in a friendly manner, contributing to a positive guest experience at a Winterthur event. This includes welcoming guests, assisting with directions, explaining the event experience, answering questions about Winterthur generally or the event specifically, and providing for the guests' needs.

Assist with the physical setup and breakdown of each event, including but not limited to moving and setting tables, chairs, rentals, décor, etc.

Work with the Visitor Service team to communicate event details including directions, timing, location, and content.

Facilitate vendor integration including meeting with and transporting musicians, craftsmen, entertainers, workshop leaders or other vendors contributing to the event content.

Work collaboratively with the Associate Manager of Audience Engagement and with other Winterthur staff members including transportation, facilities, garden, ticketing, security, and catering teams. Assure guest safety by monitoring weather, ground conditions, or health needs and coordinating support with security team.

Perform administrative tasks when needed including checking in guests at programs, collecting email addresses, or preparing and distributing supplies.

Coordinate facility needs including placement of chairs and tables, servicing of spaces (restrooms and workshop spaces), positioning of signs, A/V equipment set up, or placement of power panels.

Troubleshoot as needed (and with training) in areas that may include Wi-Fi or power outages, parking questions, vendor challenges, or lost guests.

Present event feedback to Associate Manager of Audience Engagement including what worked, what didn't, how to improve, audience description, and guest feedback.
