This position will involve a mix of event setup and event oversight, and occasional marketing tasks as assigned. This position requires a

schedule. Hours may change weekly dependent on the rental schedule. This position requires physical labor. Key Roles (Essential Responsibilities) 1.
Event Coordination & Management :
Facilitate the day-of coordination of corporate rental events, photoshoots, filming sessions, weddings/celebrations, and birthday parties. Ensure all event details are accurately executed, including set-ups, logistics, and day-of client requests. Provide on-site support for all rentals, including timely event setup and breakdown, ensuring a smooth and seamless experience for clients. Leave clean and organized spaces post-rental for the next department to utilize the space. 2.
Inventory & Equipment Management :
Ensure that all rental equipment is well-maintained, properly stored, and regularly inspected for quality and functionality. 3.
Administrative Support :
Assist in the planning and execution of additional event-related tasks as required. 4.
Marketing & Promotion :
Distribute marketing materials in key local and regional markets to drive awareness of rental services. Create social media content to promote rentals at Flamingo Gardens.
Professional Qualifications :
Minimum High School diploma or significant work experience. At least 1 year of comparable experience. Strong communication and interpersonal skills, both verbal and written. Ability to work independently and manage multiple tasks simultaneously. Excellent organizational skills and attention to detail. Ability to handle customer inquiries and complaints and provide solutions in a professional and friendly manner. Knowledge of event planning, marketing, or hospitality is a plus, but not required. Must be flexible with work hours, including weekends and evenings. This position's schedule is dependent on the rentals booked for the month and is subject to change. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Canva or other graphics software, as well as POS platforms, is a plus.
Knowledge and Abilities:
  • The ideal candidate is a self-starter and highly motivated. An enthusiastic professional who can take charge of events and manage multiple opinions and personalities.
  • The Assistant Rentals Coordinator should be highly organized and be able to communicate effectively with others.
  • Excellent communication skills.
  • Ability to multitask effectively and efficiently.
  • Excellent interpersonal skills, both in-person and by phone, with high professionalism.
  • Ability to work and think independently and discern work priorities.
  • Ability to work evenings and weekends is a must.
  • High expectations for quality and excellent customer service ethics.
  • Ability to direct customers, other team members, and volunteers in a professional manner as needed.
Physical Requirements :
Must be able to lift event equipment (up to 50 lbs). This position requires the setup and breakdown of tables, chairs, and equipment for each rental activity. Walking, bending, stooping, kneeling, climbing, and vigorous activity as needed. Vision sufficient to ensure safety, prepare and review paperwork, and inspect conditions of facilities, equipment, and systems. Speech and hearing sufficient to provide information, discuss work needed with others, and provide instruction to others as needed. Sufficient motor skills to operate vehicles and equipment safely, such as but not limited to golf carts and pull wagons. Must possess a valid Florida driver's license and have a satisfactory driving record. Must have the ability to work a flexible schedule. Ability to work outdoors in various weather conditions, depending on event needs.
