Position Summary:
The Field Trip & Birthday Party Coordinator is responsible for planning, organizing, and executing memorable field trips and birthday party experiences. This position serves as the primary point of contact for schools, organizations, families, and guests, ensuring exceptional customer service from initial booking through event completion. The coordinator works closely with staff to create engaging, educational, and enjoyable experiences while maintaining high standards of safety, organization, and guest satisfaction.
Essential Duties and Responsibilities:
Field Trip Coordination Respond to inquiries and book school, camp, homeschool, and group field trips. Coordinate schedules, itineraries, educational programs, and special requests. Communicate with teachers and group leaders regarding event details, arrival procedures, and expectations. Prepare field trip materials, attendance lists, and educational resources. Ensure field trips run smoothly and on schedule. Assist with guest check-in and provide orientation upon arrival. Birthday Party Coordination Manage birthday party inquiries, reservations, deposits, and final payments. Coordinate party packages, food orders, decorations, and special requests. Communicate with parents regarding event details and timelines. Set up and prepare party spaces before events. Host or oversee birthday parties to ensure an exceptional guest experience. Assist with event cleanup and reset of party areas. Customer Service & Administrative Responsibilities Provide outstanding customer service in person, by phone, and via email. Maintain accurate booking calendars and event records. Process contracts, invoices, payments, and deposits. Follow up with guests before and after events. Resolve guest concerns professionally and promptly. Assist with marketing efforts, event promotions, and social media content as needed. General Responsibilities Work collaboratively with animal care, education, admissions, and operations teams. Maintain a clean, organized, and welcoming event environment. Ensure compliance with all facility safety policies and procedures. Assist with special events and seasonal programs as assigned. Perform other duties as needed to support facility operations. Assists with facebook and social media marketing platforms. Assists with general guest service needs including but not limited to running a cash register, stocking, cleaning, and running Virtiual realtlity. Consistently maintain a professional appearance and demonstrate exceptional customer service, communication, and interpersonal skills. Perform other duties as assigned. Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Previous experience in event planning, hospitality, customer service, education, or recreation preferred. Excellent communication and organizational skills. Strong attention to detail and ability to multitask. Ability to work independently and as part of a team. Proficiency with Microsoft Office, Google Workspace, and reservation/booking software. Maintain a flexible schedule that includes evenings, weekends, and holidays as required. Physical Requirements Ability to stand and walk for extended periods. Ability to lift and carry up to 25 pounds. Ability to work indoors and outdoors in varying weather conditions. Ability to set up and move event materials, tables, chairs, and decorations. Success Measures High guest satisfaction scores and positive reviews. Accurate event scheduling and booking management. Increased field trip and birthday party bookings.
