POSITION SUMMARY
Our Business Development team, comprised of Account Managers and Coordinators, is a team of experienced, creative professionals with the ultimate responsibility of creating, organizing and supervising every element of clients' events in an extraordinarily fast-paced environment. Each Account Manager on the team leads coordination of up to 100 events per year. An Event Coordinator directly supports the work of a designated Senior Account Manager and the Business Development Team. This position specifically supports a Senior Account Manager that represents a high volume of events, including corporate, nonprofit events, city-wide community events, and private events across the City of Jacksonville and beyond. Qualified candidates should have a love for special event management, the ability to provide unparalleled customer service as an enthusiastic professional, to anticipate needs, discern priorities, meet deadlines with little supervision, and to work evenings and weekends. Experience within the events or customer service industry is preferred. The success of an individual in this position is directly tied to client satisfaction, retention and event profitability.
RESPONSIBILITIES
Attend planning meetings with Senior Account Manager and clients within their portfolio. Attend internal planning meetings with cross-departmental teams. Capture and document key decisions, updates, and needs and manage event notes and information for Senior Account Manager. Maintain working knowledge of event scopes, schedules, logistics, and goals. Create, organize, and maintain design proposals, job contracts, pullsheets, pack lists, diagrams, timelines, and supporting documents for assigned events and projects. Provide research support to Senior Account Manager and Business Development team. Source the highest quality equipment and services at the best possible price to meet clients' needs.
  • Provide excellent client service via phone, email, and in-person.
Serve as front-line contact for client during pre-planning, set-up, execution, and load-out. Identify and resolve issues in real-time; escalate complex concerns to Senior Account Manager. Research, negotiate, contract, and fully manage external vendors, partners, and sponsors during pre-planning and during set-up, execution, and load-out. Manage internal staff from various departments, including Event Technology, Event Services, Textiles and Catering, Floral, and Creative Services. Navigate and handle issues that arise from clients, vendors, venues, staff, etc. Ensure that everything promised to the client is delivered efficiently. Track company expenses to vendors (Purchase Orders) and strictly manage adherence to event budget. Prepare client follow-ups, debriefs, and post-event reports.

    Education/Experience:
    Bachelor's degree from four-year college or university OR an equivalent combination of education and experience in a related industry.
      Computers:
      Must possess basic computer skills and be very detail-oriented with exceptional organizational skills.
        People:
        Due to the highly collaborative nature of this work, strong interpersonal skills are required.
          Language:
          Ability to read, analyze and interpret general business reports, journals, technical procedures and regulations with an ability to write reports, business correspondence. Must be able to effectively present information and respond to questions from team members, clients, customers and the public using excellent communication skills.
            Math:
            Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, volume, etc. Must be able to apply concepts of basic algebra and geometry to daily work.
              Reasoning:
              Ability to define problems, collect data, establish facts and draw valid conclusions.
                Certificates, Licensure and Registrations:
                Must have documentation proving eligibility to work in the United States, reliable and insured transportation, as well as a valid driver's license and driving record with three (3) points or less. Drug-free workplace. EOE.
