Exceptional Care. Meaningful Impact. Job Overview As the Event Coordinator, you will be the driving force behind planning, organizing, and managing a variety of fundraising and community events. You will collaborate with staff, sponsors, vendors, volunteers, donors, and community partners to ensure every detail is flawlessly executed. Your passion for hospitality, exceptional communication skills, creativity, and ability to manage multiple moving pieces will help create seamless experiences for attendees and supporters while advancing our mission. Responsibilities Collaborate with internal teams, sponsors, donors, volunteers, and community partners to plan successful events. Coordinate all aspects of event planning including venues, catering, entertainment, décor, audiovisual needs, transportation, and logistics. Maintain event timelines, planning documents, budgets, and project schedules. Negotiate contracts and coordinate with vendors to secure quality services and competitive pricing. Manage event registration, guest communications, seating assignments, and attendee experiences. Coordinate sponsorship fulfillment and recognition opportunities. Assist with procurement of auction items, sponsorships, and in-kind donations. Recruit, schedule, and manage volunteers for events and fundraising activities. Support event marketing efforts through social media, email campaigns, website updates, and promotional materials. Oversee event setup and breakdown, ensuring all elements are executed according to plan. Monitor event budgets, track expenses, and assist with financial reconciliation and reporting. Provide exceptional customer service by addressing inquiries and resolving issues quickly and professionally. Identify opportunities to enhance attendee experiences and increase fundraising outcomes. Assist with donor stewardship efforts, including thank-you communications and post-event follow-up. Support signature events including FinFest, the Jet Pull, donor receptions, awareness campaigns, and other community engagement activities. Represent Jacksonville Speech & Hearing Center professionally within the community. Perform other duties as assigned. What Makes You a Great Fit You love creating order from moving pieces. QualificationsRequired High school diploma or equivalent. Experience in event planning, hospitality, fundraising, customer service, project coordination, or related fields. Strong organizational and communication skills. Ability to work occasional evenings and weekends for events. Proficiency with Microsoft Office and digital communication platforms. Preferred Associate's or Bachelor's degree in Event Management, Hospitality, Marketing, Communications, Business, Nonprofit Management, or related field. Fundraising or nonprofit experience. Experience with sponsorship management and donor relations. Experience with event management software and registration platforms. Experience in banquet management, catering coordination, hospitality, restaurant, or hotel environments.
