Job Description

We are seeking a dedicated, detail-oriented part-time Event Manager who is passionate about delivering exceptional service in every interaction. This role requires strong organizational skills, effective communication, and a commitment to excellence. The Event Manager will uphold our five stars of guest service—integrity, quality, collaboration, helpfulness, and grace—ensuring the successful execution of various events, including internal programs, facility rentals, weddings, birthday parties, and photoshoots. In this position, you will manage event logistics, oversee vendor operations, ensure safety protocols are followed, and maintain clear communication with clients and staff to deliver a seamless, high-quality experience for all. Key Responsibilities Review and familiarize yourself with all event paperwork before your shift to ensure smooth event execution, demonstrating integrity in all actions by ensuring transparency and honesty in every detail.

Warmly welcome clients (internal and external) and vendors (caterers, wedding planners, etc.) upon arrival, offering reminders of key policies when necessary, and consistently providing high-quality, cheerful service.

Oversee vendor load-in, setup, breakdown, and cleanup, ensuring all aspects of the event are completed efficiently while collaborating with management, vendors, and staff to ensure seamless execution.

Assist with on-site event production and cleanup as needed, remaining dedicated to helpfulness and ensuring all tasks are completed with attention to detail and care.

Ensure adherence to safety protocols and event guidelines, addressing any breaches with confidence and professionalism while explaining corrective measures with grace.

Monitor event activities and guest behavior to ensure satisfaction, addressing concerns promptly and coordinating with the salesperson, housekeeping, or security to resolve issues, always striving to provide a helpful and positive experience.

Maintain excellent customer service by anticipating and responding to client and vendor needs, handling all interactions with professionalism and a proactive approach, and resolving any challenges with tact and care.

Communicate effectively with management about your availability and with clients to ensure smooth and seamless event coordination.

Complete event checklists, notes, and incident reports with thorough details.

Collaborate with management, staff, and vendors to support the execution of both private and internal events, ensuring a smooth experience for all through collective effort and mutual respect.

Provide clients with comprehensive information about the museum's history, exhibits, layout, and space features, enhancing their event experience and engaging guests with care and attention to detail.

Manage and enforce museum policies regarding photography, food and beverage, and guest conduct within the museum space, ensuring compliance while maintaining an atmosphere of respect. Qualifications Minimum five (5) years related experience. 1 to 2 years of experience in event coordination and execution, with the ability to work independently and as part of a team. Strong leadership, organizational, and time management skills, with the ability to adapt quickly to changing circumstances.

Excellent problem-solving abilities, customer service skills, and professional communication with clients and vendors.

Ability to understand and interpret event diagrams and paperwork.

Personable with a positive, friendly attitude and a strong work ethic.

Access to reliable transportation and availability to work a flexible schedule, including weekends and evenings. Physical Requirements Ability to stand and walk for extended periods, approximately 90% of the time. Ability to lift up to 40+ pounds regularly.
