Job Summary We are seeking an energetic and detail-oriented Venue Coordinator to lead the planning, organization, and management of
WEDDINGS
& diverse events at our dynamic venue. This role offers an exciting opportunity to create memorable experiences by coordinating all aspects of weddings & other event execution, from initial planning to final wrap-up. The ideal candidate will possess excellent communication skills, a passion for hospitality, and a knack for multitasking in a fast-paced environment. As a key member of our team, you will ensure seamless operations, exceptional customer service, and successful event delivery that exceeds client expectations. And must have a passion, patience and understanding of planning a wedding. Responsibilities Collaborate with clients to understand their vision, needs, and budget for events such as weddings, corporate functions, banquets, and community gatherings. Develop comprehensive event plans including timelines, layouts, catering arrangements, entertainment, and technical requirements. Negotiate contracts with vendors such as caterers, decorators, entertainment providers, and equipment rental companies to secure the best terms. Coordinate all logistical details before and during events, including setup, staffing, equipment needs, and breakdown procedures. Manage budgets effectively by tracking expenses, upselling additional services or upgrades to enhance client satisfaction and revenue. Oversee event marketing efforts to promote venue bookings through social media, partnerships, and outreach initiatives. Provide exceptional guest services by addressing client inquiries promptly and ensuring smooth communication between all stakeholders. Maintain organizational records including contracts, permits, insurance documents, and post-event evaluations. Uphold safety standards and ensure compliance with health regulations related to catering and venue operations. Foster strong relationships with clients and vendors through negotiation skills and professional communication to secure repeat business. Experience Proven experience in event planning or management within hospitality settings such as hotels, restaurants, or banquet facilities. Demonstrated ability in negotiating contracts and managing vendor relationships effectively. Strong background in event marketing strategies to attract new clients and upsell services. Experience with banquet operations or catering services is highly desirable. Excellent time management skills with the ability to coordinate multiple events simultaneously under tight deadlines. Familiarity with budgeting processes and financial tracking for events. Prior guest services or customer service experience that highlights professionalism and hospitality expertise.
