Contract-Based (Negotiated) - Event based Position Summary The Venue Manager is responsible for the overall coordination, execution, and operational success of events hosted within the Art Center. Events may include weddings, corporate functions, galas, fashion shows, trade expos, fundraisers, private parties, art exhibitions, community events, film productions, and special events. The Venue Manager serves as the primary on-site representative during events, ensuring a high-quality experience for clients, vendors, guests, artists, and tenants while protecting the facility's assets and maintaining operational standards. Essential Duties and ResponsibilitiesEvent Management & Execution Serve as the primary point of contact for clients from event booking through event completion. Conduct venue tours and assist prospective clients with venue inquiries. Coordinate event logistics, timelines, floor plans, and operational requirements. Manage event setup, execution, and breakdown activities. Ensure all event activities comply with venue policies and procedures. Oversee weddings, galas, fashion shows, expos, art exhibits, concerts, fundraisers, corporate meetings, and community events. Conduct pre-event and post-event facility inspections. Document and report any damages, incidents, or policy violations. Client & Vendor Relations Maintain professional relationships with clients, vendors, caterers, decorators, production teams, security personnel, and entertainers. Coordinate vendor arrivals, load-in/load-out schedules, and venue access. Ensure all vendors meet insurance and contractual requirements. Address client concerns promptly and professionally during events. Facilitate communication between venue staff, clients, and service providers. Facility Operations Monitor venue cleanliness, safety, and presentation standards. Ensure event spaces, galleries, common areas, and restrooms remain guest-ready. Coordinate maintenance requests and report facility issues. Monitor occupancy limits and compliance with fire and life-safety regulations. Secure venue before, during, and after events. Staff & Contractor Coordination Coordinate event support staff, volunteers, security personnel, custodial teams, and contracted vendors. Provide direction to event personnel during event operations. Ensure all team members understand event schedules and responsibilities. Financial & Administrative Responsibilities Prepare event estimates, rental agreements, and invoices when assigned. Track event expenses and report operational costs. Collect event documentation including certificates of insurance, permits, and vendor agreements. Maintain accurate event records and incident reports. Assist with venue scheduling and calendar management. Marketing & Business Development Support venue marketing efforts by participating in networking events, bridal expos, and community outreach. Assist with social media content creation showcasing events and venue capabilities. Identify opportunities to increase venue bookings and client retention. Develop relationships with wedding planners, event producers, nonprofit organizations, corporations, and local businesses. Required Qualifications Minimum 3 years of experience in venue management, event management, hospitality, or related field. Experience coordinating weddings, corporate events, galas, exhibitions, and large-scale public events. Strong organizational and project management skills. Excellent communication and customer service abilities. Ability to manage multiple events and deadlines simultaneously. Proficiency with Microsoft Office, Google Workspace, and event management software. Ability to work evenings, weekends, and holidays as required by event schedules. Ability to lift up to 30 pounds and perform venue walk-throughs and inspections. Preferred Qualifications Experience working in arts organizations, galleries, museums, cultural centers, or event venues. Knowledge of audiovisual systems, staging, lighting, and production coordination. Experience with contract negotiation and venue sales. Knowledge of local permitting, occupancy, and safety requirements. Performance Expectations The Venue Manager will be expected to: Deliver exceptional client experiences resulting in positive reviews and repeat business. Maintain a high standard of venue presentation and operational readiness. Ensure events start and conclude according to approved timelines. Reduce facility damage and policy violations through proactive oversight. Support venue revenue growth through successful event execution and client retention. Independent Contractor Status This position is an independent contractor (1099) role. The Venue Manager is responsible for all applicable taxes, licenses, insurance, and business expenses associated with providing services. Nothing in this agreement shall be construed as creating an employer-employee relationship. The Venue Manager shall exercise independent judgment regarding the methods and means used to perform contracted services while meeting venue standards and contractual obligations.
