Job Description

VENUE COORDINATOR - JOB DESCRIPTION
Venue Coordinator Responsibilities:
The Venue Coordinator coordinates all aspects of events by working directly with the customer to plan and execute events at County Line Orchard and The Pavilion at the Dunes. The Venue Coordinator serves the customer the day of the event, helping to ensure that all venue operations run smoothly. The Venue Coordinator reports directly to the Director of Events. Venue Coordinator duties will include, but are not limited to: Complete scheduled series of meetings with event customers to review event details, assist in creation of timeline, food and beverage packages, room layout, and any additional elements coordinated through County Line Orchard or the Pavilion at the Dunes Effectively review event offerings and pricing with customers that pertain to varying types of events, including weddings, corporate or social gatherings Create banquet event orders detailing food and beverage selections, décor or supplementary items, and other relevant event details for customer review and approval Work within customer budget and ensure it is adhered to while meeting venue spending requirements as per the event contract Maintain well documented, accurate, and organized customer files within booking software Collect payments on scheduled payment due dates, provide customer receipts, and submit to Accounting Department Sign off on completed event space layout and ensure all elements are placed correctly prior to the event Serve as on-site Venue Coordinator on the event date; greet vendors, assure timeline is adhered to, and manage all venue-related event components Complete profit and loss statements following each event
Experience/Qualifications:
High School Diploma Professional experience with planning weddings and/or events Strong organizational, communication and time management skills Proficient in computer skills including Word, Excel, Powerpoint and Outlook Must obtain an Employee Permit from the
Indiana Alcohol Tobacco Commission Preferred Skills:
BA/BS Degree Experience using in Tripleseat ServSafe certification
Hours:
The Venue Coordinator is a full time position and works a minimum of 40 hours per week
Salary/Income:
The Venue Coordinator is an exempt, salaried position with commission earned per event worked Must be available to work nights and weekends for events
