About Farina Restaurant Group Farina Restaurant Group is a growing hospitality group known for its commitment to high-quality dining experiences, currently operating successful restaurants like Rocco's Tavern, and Café Farina in Michigan City & Valparaiso IN. We are passionate about community, culinary excellence, and creating memorable experiences for every guest. We are seeking a highly organized and motivated Event Coordinator to manage all aspects of private events across our portfolio of venues. Job Summary The Event Coordinator will be the primary contact for all private event bookings, responsible for turning inquiries into successful events that meet client expectations and company standards. This role requires exceptional organizational skills, strong sales acumen, and the ability to manage multiple complex projects simultaneously, from initial consultation and contract signing to day-of execution.
Key Responsibilities Sales and Client Management:
Respond promptly to all private event inquiries. Conduct site visits, develop customized proposals and contracts, and secure event bookings to meet established sales goals.
Planning and Coordination:
Work with clients to define all event details, including menu selections, beverage packages, room layouts, décor, and vendor coordination (florists, DJs, etc.).
Operational Liaison:
Communicate event details clearly and in advance to the culinary team (Chef) and front-of-house management to ensure seamless execution. Create and distribute comprehensive Event Orders (BEOs).
Financial Management:
Process payments, manage budgets, track expenses, and ensure final billing is accurate and completed promptly.
Marketing:
Assist in developing marketing materials, event packages, and strategies to promote the venues to potential clients.
On-Site Execution:
Oversee the setup and breakdown of events, acting as the on-site contact for clients and staff to ensure all contracted services are delivered professionally. Qualifications and Requirements 2+ years of experience in event planning, catering sales, or hospitality management, preferably within a full-service restaurant or venue setting. Proven ability to meet and exceed sales targets. Exceptional written and verbal communication skills. Proficiency with event management software, CRM tools, and Microsoft Office Suite. Highly organized and detail-oriented, with the ability to perform under pressure. Flexibility to work a schedule that reflects event needs, including evenings, weekends, and holidays.
