Job Description

Volunteer & Event Coordinator Daviess County It Takes A Village Position Summary The Volunteer & Event Coordinator is responsible for recruiting, training, scheduling, and retaining volunteers while planning and executing fundraising, adoption, and community outreach events for Daviess County It Takes A Village. This position serves as a vital link between staff, volunteers, fosters, adopters, donors, and the community to support the organization's mission of improving animal welfare and increasing lifesaving outcomes. The ideal candidate is highly organized, self-motivated, compassionate, and comfortable working in a fast-paced animal shelter environment. This role requires strong communication skills, flexibility, and a passion for community engagement and animal advocacy. Volunteer Program Management Recruit, screen, interview, onboard, and train new volunteers. Provide ongoing supervision, mentorship, and support for volunteers. Develop and maintain volunteer schedules to ensure adequate staffing for shelter operations, adoption events, transportation, enrichment, and outreach programs. Maintain volunteer records, including hours, training completion, and performance documentation. Ensure volunteers follow shelter safety procedures, animal handling guidelines, and organizational policies. Assist with volunteer conflict resolution and disciplinary actions when necessary. Create volunteer appreciation and recognition initiatives to improve retention and engagement. Prepare regular volunteer communications, including newsletters, updates, and announcements. Collaborate with shelter staff to identify volunteer opportunities and organizational needs. Event Coordination & Community Outreach Plan, organize, and execute fundraising events, adoption events, donation drives, and community outreach activities. Maintain and manage the organization's event calendar. Coordinate event logistics including locations, vendors, supplies, staffing, setup, breakdown, and animal transportation. Recruit and oversee volunteers during events and ensure appropriate event coverage. Represent the organization at community events, media appearances, educational visits, and outreach opportunities. Assist with marketing and promotion of events through social media, email campaigns, flyers, and community partnerships. Develop relationships with sponsors, local businesses, schools, and community organizations. Track event performance, attendance, donations, and overall success metrics. Qualifications High school diploma or equivalent required; additional education in communications, nonprofit management, marketing, or animal welfare preferred. Previous experience in volunteer coordination, event planning, customer service, nonprofit work, or animal welfare preferred. Strong verbal and written communication skills. Excellent organizational skills with the ability to multitask and prioritize effectively. Comfortable handling dogs and cats of varying sizes, breeds, and temperaments. Proficiency with Microsoft Office, Google Workspace, Canva, and social media platforms Ability to work independently while also collaborating effectively with staff and volunteers. Professional demeanor with the ability to maintain confidentiality Valid driver's license and reliable transportation required. Passion for animal welfare and commitment to the mission of the organization. Physical Requirements & Work Environment Ability to stand, walk, bend, lift, and move throughout the workday. Ability to lift and carry up to 50 pounds. Ability to work indoors and outdoors in varying weather conditions. Exposure to cleaning chemicals, animal odors, noise, animal waste, and potential scratches or bites. Must be comfortable working in a fast-paced, emotionally demanding environment. Evening, weekend, and occasional holiday availability required to support events and shelter operations. Key Performance Indicators Volunteer recruitment and retention rates. Volunteer hour growth and engagement. Successful execution of fundraising and outreach events. Increase in adoption event participation and community awareness. Growth in donations, sponsorships, and community partnerships.
