Job Description

American Quilter's Society (AQS) is seeking an enthusiastic, highly organized, and personable Vendor Coordinator . In this role, you will be the driving force behind selling and managing booth spaces at our Quilt retail shows. You will actively market Quilt Booths to the wider quilt industry and build a vibrant network of marketing contacts within the quilt industry. The ideal candidate thrives when working with the public, loves the energy of live events, and can solve problems quickly on the fly.
The Balancing Act:
You must be able to build relationships with Vendors while enforcing show rules, earning their respect, protecting their interests, and fostering deep, lasting partnerships. Sales & Industry Marketing Support, market, and sell booth spaces to existing and new vendors for all AQS QuiltWeek Shows. Build a robust network of marketing contacts within the local and national quilt industry and shops. Vendor Support & Operations Register vendors for AQS QuiltWeek events and manage their space requirements and assignments. Collaborate with management to develop and communicate floor plans clearly, ensuring sponsors and vendors are placed efficiently and in agreement. Ensure timelines are met so vendors are informed of their booth location with sufficient time to coordinate with Decorator and Convention Center services. Provide end-to-end support to vendors before, during, and after each show to ensure a seamless experience. Act as the primary liaison between vendors and event Decorators, Convention Centers, and utility companies. Maintain accurate financial reports , track vendor metrics, and keep accurate records of all booth sales and receipts within Cvent. Travel & Event Execution Travel to all AQS QuiltWeek events to manage on-site vendor operations. Optional Opportunity - to travel and work on the AQS Seam Quilt Cruise .
Requirements & Qualifications Personality:
Highly personable, energetic, and genuinely enjoys working closely with the public.
Detail-Oriented:
Exceptional organizational skills with a focus on accuracy.
Software Skills:
Confident knowledge of Excel is required. Knowledge of Cvent and Visio is a strong plus.
Communication:
Excellent communication, negotiation, and teamwork skills are a must.
Physical Demands:
Ability to sit, stand, and walk for extended periods of time (especially on the show floor). Minimal lifting required (approximately 30 pounds).
Travel availability:
Must be willing and able to travel to all designated QuiltWeek shows.
Actual Hours Standard Schedule:
Monday through Thursday, 7:30 AM to 4:30 PM. - ( Four 9-hour days ).
Event Schedule:
Hours will be adjusted during QuiltWeek events to accommodate show timelines (overtime eligible). In-Person Benefits 401(k) Health insurance Paid time off (PTO)
