JOB SUMMARY
Under the supervision of the Associate Director of Admissions Events, the Events Assistant provides office support for the Undergraduate Admissions Unit, specifically the Events Team. They will support all event management initiatives for the Events Team, from planning through post-event evaluation. This position is expected to work occasional nights and weekends as required for on-campus programming and events.
RESPONSIBILITIES INCLUDE
Deliver significant customer service functions including visitor reception, phone and email coverage, and respond to admissions status-related inquiries by prospective students, their families, and secondary school counselors. This individual is expected to identify when it is appropriate to escalate inquiries to management and provide assistance in researching and responding to escalated issues. Control the process of documentation and organization for the team. Regularly present information sessions to prospective students and families in the Visitor's Center. Support the creation, scheduling, and coordination of fall and spring virtual events. Manage complex room reservations to ensure space is secured and properly set for all Admissions programming. Assist in the organization and packing of materials for transport to event spaces. Continue current and create new campus partner and external vendor relations necessary for preparing and hosting successful prospective and admitted student programs. Serve as the data liaison for admissions staff and college partners. Clearly communicate office needs and expectations when working with campus partners and external vendor partners, in addition to reviewing invoices, submitting contracts for review by the legal team, and ensuring payments are being processed to all parties. Support other Admissions management team members in additional assignments as needed.
MINIMUM QUALIFICATIONS
Two years of college or associates degree required. Bachelor's degree preferred. Minimum of 1-3 years of progressively responsible administrative support in a professional or college/university setting. Prior experience with events or space reservations preferred. Ability to multi-task and work independently to manage responsibilities. Strong computer skills necessary (Microsoft suite). Experience with both PC and Mac products preferred. Ability to lift and carry 20 lbs. Understanding of Slate and Social Tables or other database management software beneficial.
