Special Events Manager Classification:
Part-time Overview The Private Events Assistant supports the planning, preparation, and flawless execution of all private and special events at Beacon Hill Books & Cafe. Working closely with the Special Events Manager, this role helps ensure each event—from intimate luncheons to full-store buyouts—reflects the signature warmth, elegance, and attention to detail that define the Beacon Hill Books experience. Key Responsibilities Event Coordination & Support Assist in coordinating event logistics, including set-up, service flow, and breakdown. Support the preparation of event materials—menus, place cards, signage, and décor elements. Help with day-of setup (table arrangements, candles, floral placement, etc.) to ensure brand aesthetic consistency.
Provide on-site support during events:
greeting guests, assisting servers and kitchen staff, tracking event timelines, and responding to client requests. Help with post-event cleanup, reset, and inventory organization. Administrative & Communication Responsible for handling all booking correspondence with prospective clients, answering questions about private events and replying to event related emails in a timely manner. Maintain event files and checklists in coordination with the Special Events Manager. Support event scheduling and coordination with bookstore and cafe teams. Assist with invoice preparation and expense tracking after events. Brand & Guest Experience Ensure every event reflects the Beacon Hill Books & Cafe aesthetic and level of hospitality. Uphold the brand's polished, welcoming tone in all client and guest interactions. Anticipate needs and support a smooth guest experience from arrival to departure. Qualifications Exceptionally organized, dependable, and detail-oriented. Friendly, professional, and composed under pressure. Experience in hospitality, event planning, or fine dining preferred. Familiarity with Adobe or design tools a plus. Comfortable working evenings and weekends as needed for events. A love of books, design, and gracious entertaining is highly valued.
