Located in Salem, Massachusetts, it attracts over 100,000 visitors annually and is dedicated to preservation, educational programs, and community enrichment through its museum and settlement efforts.
Position Overview:
The Development Assistant is a key member of the Development team. The Development Assistant serves as the backbone of the operation by overseeing all administrative processes in place to manage The Gables' donor and member relationships. Additionally, the Development Assistant helps to organize development events and programs.
Essential Job Functions:
Serve as Development Department primary contact. Work to resolve any issues in a courteous and timely manner. Assist donors and members with registering for events, scheduling visits, updating contact information, inquiries about giving, and other common requests as needed.
  • Maintain and update the Altru customer relationship management database. Ensure accuracy and accessibility for all users, including data integrity checks. Work with Blackbaud support staff to resolve any technical issue or errors.
  • Process gifts (including membership renewals, annual gifts, in-kind support, grants, sponsorships, corporate matches, and planned gifts) and provide prompt acknowledgement of gifts. Ensure needed follow-up for proper stewardship.
  • Process memberships and renewal notices.
  • Assist in organizing special events tied to donor cultivation/acquisition/stewardship, membership, and especially annual gala. This includes planning, set-up, and night of coverage.
  • Coordinate event sponsorship and silent auction requests, including sending and tracking requests
  • Generate Altru reports, mailing lists, and other contact lists as requested.
  • Work with Business Manager to to reconcile donations as needed. Generate Altru reports, mailing lists, and other contact lists as requested.
  • Manage and respond to requests for donations and complimentary passes from other organizations and individuals.
  • Periodically manage interns and volunteers for fundraising and member events and on projects related to development.
  • Support the Development Director and other organizational leadership by performing other duties, as assigned.
Preparation, Knowledge, Skills and Abilities:
  • BA preferred. In lieu of degree, 2-4 years of relevant experience.
  • Proficiency in email communication.
  • Strong oral and written communication skills.
  • Proficiency in Blackbaud Altru, Microsoft Office, and MailChimp required.
  • Ability to multi-task.
  • Strong time-management skill and proven ability to meet deadlines.
  • Ability to work well with others in cross-functional teams.
  • An understanding of The Gables' offerings and historical significance.
  • Excellent interpersonal and oral communication skills.
  • Ability to take direction easily and adjust to changing circumstances quickly.
  • Ability to deal effectively and courteously with the public and other staff members.
  • Ability to speak a language in addition to English a plus.
Working Conditions/Physical Demands:
  • Constant use of speech, hearing and sight abilities.
  • Must comply with department dress code and meet established grooming and hygiene standards.
  • May need to kneel, bend, crouch, reach or stretch to perform daily tasks.
  • Repetitive use of hands and wrists, handling, grasping, and reaching using computers, telephones, fax machines, and other office equipment

  • Frequent lifting and carrying of up to 5-10 lbs.
