From public programs and performances to private gatherings, our Special Events & Performing Arts team helps create memorable experiences for countless guests each year. We are seeking an Event Facilitator who excels in fast-paced environments, enjoys coordinating moving pieces behind the scenes, and takes pride in delivering exceptional guest experiences. This role serves as a key on-site operational partner helping ensure events run smoothly, professionally, and according to plan. Why This Role Matters The Event Facilitator plays a critical role in supporting successful events across the organization. This position helps coordinate logistics, support clients and vendors, oversee event execution, and maintain operational excellence. The role directly contributes to creating welcoming, organized, and memorable experiences that reflect the standards and reputation of Frederik Meijer Gardens & Sculpture Park. What You'll Do Event Coordination & Logistics Coordinate event setup and breakdown activities for event spaces, equipment, and material Support operational logistics for wedding rentals, public programs, and special events Ensure event spaces are prepared accurately and efficiently according to event plans On-Site Event Management Oversee event execution and monitor event flow throughout shifts Troubleshoot operational issues and respond to changing event needs in real time Support safe, professional and guest-centered operations during events. Guest, Client & Vendor Support Serve as a professional point of contact for clients, guests, vendors, and partners Communicate event expectations, timelines, and operational updates clearly Help ensure a positive and welcoming guest experience throughout events Team Collaboration & Leadership Work collaboratively with staff, volunteers, vendors, and security teams Help prioritize operational needs during busy or high-volume periods Support cross-functional coordination to ensure smooth event execution Communication & Administrative Support Maintain records related to event activities, feedback, and operations Assist with post-event evaluations and operational follow-up Communicate effectively across departments regarding event logistics and needs What You Bring Previous experience in event coordination, hospitality, guest services, or related fields preferred Strong organizational skills with the ability to manage multiple priorities simultaneously Excellent interpersonal and communication skills with a guest-focused mindset Ability to remain calm, professional, and solution-oriented in fast-paced environments Strong attention to detail and operational awareness Ability to work independently and collaboratively as part of a team Comfort working evenings, weekends, holidays, and variable event and concert schedules Proficiency with Microsoft office or related event or scheduling systems preferred Education:
High school diploma or equivalent, required. Some college coursework in hospitality, event management, communications, or related fields, preferred. Work is performed in both indoor and outdoor event environments and may involve exposure to varying weather conditions, moderate to high noise levels, large guest volumes, and fast-paced operational settings. This role requires flexibility to support a wide variety of events and operational needs, including evenings, weekends, holidays, and extended shifts during peak event seasons. The Event Facilitator regularly interacts with guests, clients, vendors, volunteers, and staff throughout the organization and must maintain professionalism and strong communication in dynamic environments. Physical Requirements:
This role requires frequent standing, walking, bending, reaching, and movement throughout event spaces and grounds for extended periods of time. Responsibilities may include assisting with event setup and breakdown, moving materials and equipment, and lifting or carrying items weighing up to 20 pounds regularly. The position also requires close visual attention, clear communication abilities and the ability to navigate active event environments safely and efficiently.
