About Bavaria Downs & Woodland Glasshaus Bavaria Downs is one of Minnesota's premier wedding and event destinations, featuring three distinct venues that host hundreds of celebrations each year. Woodland Glasshaus is a modern glass venue nestled among scenic woods, providing couples and corporate clients with a memorable event setting. We are seeking an energetic, organized, hospitality-driven Venue Director to lead client planning, event execution, property oversight, staff leadership, and daily operations at Woodland Glasshaus. This position is well suited for someone who excels in a fast-paced environment, values strong client relationships, pays close attention to detail, and is committed to delivering exceptional experiences. Position Summary The Venue Director serves as the primary leader and client advocate for Woodland Glasshaus from booking through event day. This role manages planning meetings, event coordination, property maintenance, staff supervision, vendor partnerships, and venue operations to ensure successful events and outstanding service. Working closely with catering partners, operations teams, event staff, maintenance vendors, and clients, the Venue Director helps maintain both the guest experience and the property's appearance and functionality. Key ResponsibilitiesClient Planning & Experience Serve as the primary client contact from booking through event day, providing guidance, resources, and venue-related recommendations Lead planning meetings, venue walkthroughs, and final planning sessions approximately 30-45 days before events Respond to client inquiries within 24-48 hours and continuously enhance communication, planning procedures, and the overall client journey Event Coordination & Execution Manage event schedules, planning forms, records, and documentation to ensure accuracy and timely distribution Coordinate event logistics and venue requirements with catering partners, vendors, and event professionals Serve as Venue Coordinator for weddings and events (typically 1-2 events per week), overseeing seamless execution and exceptional client service Property & Operations Management Uphold Bavaria Downs' standards of excellence by maintaining the appearance, functionality, and readiness of Woodland Glasshaus Oversee inventory, ordering, and management of décor, office supplies, and event materials Coordinate cleaning, maintenance, repairs, landscaping, snow removal, and other seasonal or operational needs while managing vendor relationships Regularly assess venue conditions and identify opportunities for improvement Staff Leadership & Development Recruit, interview, hire, train, schedule, and develop event staff Foster a positive, service-focused team culture through ongoing coaching, training, and professional development initiatives Support company events, styled shoots, team celebrations, and internal training programs Financial Administration & Reporting Track labor, staffing, venue purchases, and operational expenses Submit receipts, maintain reports, and complete weekly venue scorecards and operational reporting Monitor budgets related to supplies and venue operations Vendor & Community Partnerships Build and maintain strong relationships with preferred vendors, hotel partners, local businesses, and service providers Collaborate with catering partners and event professionals to strengthen the client and guest experience Represent Woodland Glasshaus and Bavaria Downs professionally and enthusiastically within the community QualificationsRequired 2+ years of experience in event management, hospitality, venue management, wedding planning, or a related field Exceptional organizational and project management skills Strong verbal and written communication abilities Ability to manage multiple projects and deadlines simultaneously Customer-service-focused mindset with a passion for hospitality Ability to work evenings and weekends as required by event schedules Proficiency with Google Workspace, and CRM systems Preferred Wedding, venue, or hospitality management experience Experience leading and developing teams Familiarity with HubSpot or similar CRM platforms Knowledge of event timelines, catering operations, and wedding logistics To Apply If you are passionate about hospitality, enjoy creating memorable experiences, and thrive in a leadership role, we would love to hear from you. $58,000.00 - $65,000.00 per year
