Job Description

The Chamber is seeking a self-motivated events coordinator to fill the role of Administrative Assistant as well as assisting the Director of Special Events by coordinating and planning monthly programming and assisting in daily administrative duties. All Chamber associates are expected to exhibit courtesy, friendliness and a sincere desire to be of assistance to our members and the public. They must strive to maintain a thorough knowledge of the community and keep abreast of all activities and functions in the area. This position is accountable to the President.
Job Responsibilities:
Office Administration Execute the administrative functions for the organization: greet visitors and answer the main phone line, process, send and distribute the mail, log incoming checks, respond or forward electronic communication received from the website or the general office email, receive all faxes to email, keep online event calendar current, and maintain adequate level of office supplies (toilet paper, paper, plates, etc) Update membership database records as changes and requests are submitted, assist members with login information, edit/format, and process various monthly membership letters Order magnetic name badges and print mailing labels Support the President by ordering catered meals for the monthly board meetings Support the President by preparing board packets and Civic Roundtable attendance and meeting agendas Events Coordination Provide event support, including taking reservations and payments from members/guests/vendors, reserving banquet/meeting rooms for recurring events, generating attendance rosters, assisting with registration tables and purchasing supplies Before/After Hours
  • coordinate details with monthly programming host and sponsors and update Growthzone calendar and coordinate information to marketing team Monthly Luncheons
  • assist in coordination, confirm details with sponsors, presenters, hosts, update calendar and coordinate information to the marketing team Input all committee meetings/events into Growthzone (Chamber database) Annual Gala
  • Auction Data Entry and other tasks as assigned Serve on the Oktoberfest Task Force Serve on the Golf Task Force Assist the Chamber's Holiday Reception in early December Assist Director of Special Events with meeting reminders, minutes, and communication to committees.
Assist with Education Committee Events (like the New Teacher Breakfast and Spring Reach Out) Other duties as assigned by the
President and Director of Special Events Required Qualifications:
Minimum of a high school diploma Minimum two years' experience in an administrative position Strong verbal and written communication skills Proficient in Microsoft Office suite (Word, Excel and Outlook) Possess a strong set of interpersonal skills to interact with a variety of patrons visiting the Chamber Demonstrate a strong set of organizational skills, the ability to multitask, pay attention to detail, and complete differing levels of tasks in a timely manner
COMPENSATION
$20
  • 22 per hour based on applicant's experience level.
