EVENT MANAGER GENERAL
The Foundation of Shalom Park (FSP) is searching for an enthusiastic event manager with a "can-do" attitude to assist FSP clients with meeting planning, execution, and event technology. They will be responsible for all day-to-day events and private services. Develop contracts for and oversee all administrative and operational aspects of preparing and selling events and catered parties. Maintain vendor relationships, work with culinary, catering, and event planning vendors and client team to assure that FSP client expectations are exceeded. The ideal candidate will also have superior communication skills and the ability to manage the content of the FSP website, social media platforms, donor engagement communiques, and all event-marketing efforts. They will have the ability to learn the technology systems and platforms that support the FSP's event programs and overall facility operations. This full-time position will report to the Director of Administration and Finance and will work frequently with the Executive Director and the Board of Directors.
DUTIES AND RESPONSIBILITIES
Events Management:
Oversee all aspects of event space use. Coordinate and reserve rooms and setups for Tenants and 3rd parties Assists in planning and coordinating clients meetings, wedding receptions, Bar & Bat Mitzvah celebrations, dances, charity and other social events. Establish event space pricing with Director of Administration and Finance Create and enter event space contracts with 3rd parties Plan inspections and obtain permits if required Create event feedback surveys and address any post event issues Responsible for event logistics. Use "one point of contact" method. Market FSP event space. Coordinates advertising and marketing
- brochures, banners, digital board, magazine, newspaper and online. Network with event planners, industry groups and potential partnership vendors. Hold outreach marketing or promotional events. Maintains past and potential client files Oversee A/V use within event space. Ensure that all A/V systems are operating
- conjunction with IT Director Identify A/V replacements or upgrades Interface and contract with A/V vendors
- replacements, repairs and yearly maintenance Make A/V acquisitions Manage Event Management Software (EMS)
- TripleSeat.
Maintain master EMS schedule in coordination of Shalom Park tenants and 3rd parties Manage software system and vendor in coordination with IT Director Ensure appropriate distribution of EMS schedule Maintain event analytics within EMS and Maintenance software systems Engage with Tenants and 3rd parties to plan events within Shalom Park space. Coordinate and communicate with Event Vendors and Caterers Approve Event Vendors and Caterers Execute event and catering contracts as required. Oversee 3rd party Event and Catering vendor operations when on Shalom Park property Obtain and maintain certificate of insurance from Event and Catering vendors Create work orders for in-house labor in support of Tenant and 3rd party events
- furniture set-ups, custodial, kitchen and security labor.
Oversee adherence to Kashrut activities within FSP kitchens Ensure Kosher certification prior to kitchen use Receive and approve catering menu for Kashrut adherence Maintain current knowledge of food safety concerns and operations Manage event budgets, client deposits, billings and receivables, and vendor payments with the Finance Department. Manage Shalom Park signage and banner program. Create and update event management policies as required. Oversee kitchen use. Review kitchen status after 3rd party events and periodically with Tenant use Ensure kitchens comply with all Health Department regulations and work with Maintenance and Health Department to address out-of-compliance issues Develop complete and monthly kitchen checklist
Communications Management:
Manage FSP social media platforms
- website, Facebook, Instagram, LinkedIn, etc. Manage FSP print communications
- newspaper, magazine, banners, etc. Assist FSP executive management with donor, community and special event outreach Assist Executive Director with donor management activities Collaborate with Executive Director to manage the donor database
- Donor Perfect/Constant Contact Other duties as may be assigned if aligned for the position

A bachelor's degree (BSc/BA) in hospitality management, tourism, business, public relations, technology or related field is preferred 3+ year experience (minimum) Project management experience. ServSafe Certification is a plus or candidate will be required to obtain the ServSafe certification within the first 60-days of employment. Experience with Microsoft suite
- Outlook, Excel, Word, PowerPoint, Publisher and Adobe required; CRM (Donor Perfect), event management software (TripleSeat), ChatGPT, and Wordpress is a plus.
