POSITION OVERVIEW
The Operations & Event Manager is a senior-level event leader responsible for owning the planning and execution of Roots' most complex, high-touch events. This role serves as the lead producer on assigned events, translating client vision and operational plans into exceptional on-site execution while ensuring alignment with Roots standards for design, service, and guest experience. This position requires a strong eye for detail and design, advanced event management experience, and the ability to lead teams confidently in fast-paced, high-pressure environments. In addition to event leadership, this role partners closely with the Director of Operations & Event Production to support logistics, rental coordination, and operational systems that ensure seamless execution across all events.
CORE RESPONSIBILITIES
Event Management
  • Serve as lead event producer for high-complexity and high-visibility events.
  • Own full event execution from BEO interpretation through breakdown.
  • Attend BEO meetings and translate event details into clear execution plans.
  • Direct service staff and assistant event managers to ensure successful execution.
  • Resolve event-day challenges with professionalism, urgency, and sound judgment.
  • Maintain communication with clients, venue contacts, vendors, and internal teams.
  • Ensure events remain on schedule and meet Roots standards for quality and hospitality. Event Design & Experience
  • Execute event designs consistent with client expectations and Roots standards.
  • Maintain high presentation standards for buffets, stations, bars, and serviceware displays.
  • Order and coordinate greenery, décor, and design elements as needed.
  • Identify opportunities to elevate event presentation and guest experience. Event Production & Logistics
  • Review BEOs and event details to develop comprehensive execution plans.
  • Create detailed pack lists, task lists, and event-specific production timelines.
  • Identify equipment, serviceware, rental, and inventory shortages and communicate needs proactively.
  • Coordinate event logistics with Culinary, Service, and Sales teams to ensure seamless execution.
  • Lead expo and loadout processes and verify all event materials are packed accurately and completely.
  • Assign and communicate event vehicle needs in coordination with the Operations team. Team Leadership
  • Foster accountability, professionalism, and adherence to Roots standards.
  • Assist with training and development of event management staff.
  • Provide performance feedback and operational insights to leadership. Rental & Inventory Coordination
  • Forecast event-specific rental and disposable needs based on BEO requirements.
  • Manage rental logistics for assigned events, including forecasting, ordering, revisions, and returns.
  • Assist with inventory forecasting by identifying recurring shortages and replacement needs.
  • Maintain organization and readiness of event equipment, serviceware, and décor items.
  • Ensure all rental and inventory items are properly staged, packed, and returned. Operational Support
  • Collaborate with the Director of Operations & Event Production to improve systems, workflows, and operational efficiencies.
  • Assist with inventory forecasting and operational planning.
  • Support implementation of SOPs and execution standards. Reporting & Continuous Improvement
  • Complete after-action reports for assigned events.
  • Document operational challenges, inventory concerns, and process improvement opportunities.
  • Provide feedback to the Director of Operations & Event Production regarding execution trends and operational efficiencies.
  • Assist with implementation of new procedures, systems, and training initiatives.

REQUIRED QUALIFICATIONS
  • 3+ years of experience in catering, hospitality, event management, or event production.
  • Experience managing events, coordinating logistics, and leading teams.
  • Experience reading and executing Banquet Event Orders (BEOs).
  • Strong organizational skills and attention to detail.
  • Strong eye for event design, presentation, and guest experience.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Valid driver's license and reliable transportation.
  • Ability to lift up to 50 pounds and work in both warehouse and event environments.
  • Availability to work evenings, weekends, and holidays as required.
