Vice President of Convention Center Operations Job Summary The Event Manager plays a vital role in the successful execution of events at the convention center by managing all aspects of the event planning and coordination process. This individual serves as the main point of contact for clients from the initial inquiry through event completion, ensuring a seamless and professional experience. Working closely with the Vice-President of Convention Center Operations and other key departments, the Event Manager is responsible for coordinating internal teams, maintaining accurate event documentation, and ensuring client expectations are met or exceeded. In addition to logistical coordination, the Event Manager is expected to maintain a strategic and client-focused mindset, assisting with sales proposals, maintaining records for booked events, and supporting marketing and promotional efforts. The role requires a combination of organizational strength, customer service expertise, and technical proficiency in event planning software. The ideal candidate thrives in a dynamic environment and is capable of managing multiple events simultaneously while paying close attention to detail. Primary Responsibilities Event Planning & Coordination Serves as main contact for booked clients. Create detailed floor plans and Banquet Event Orders (BEOs) under the guidance of the VP of Convention Center Operations. Coordinate event details with catering teams, including food and beverage planning. Provide guidance to the Event Operations Staff on setup and execution based on BEOs. Review event setups to ensure compliance with client specifications and accuracy of execution. Assist with physical event setup and customer service during events when needed. Administrative & Operational Oversight Maintain and update the convention center's master event schedule and CRM systems. Ensure all event documentation (forms, BEO's, checklists) are accurate and current. Support development and refinement of internal documents related to event operations. Maintain an organized and up-to-date Event Operations manual for team reference. Track and manage a record of all proposals, booked events, and client communications. Assist with alcohol-related event compliance and support the Lead Bartender as directed. Client Relations & Sales Support Works closely with Sales Support Manager to recruit business. Manage incoming inside sales leads. Serve as main contact for repeat clients and prospective inside sales clients. Generate inside sales space and pricing proposals tailored to client needs. Conduct site visits, facility tours, and client meetings as needed. Maintain clear and timely communication with clients regarding logistics, policies, and requirements. Attend trade shows, industry events, and meetings as needed to represent the convention center. Software, Technology, & Tools Operate and maintain proficiency in all current event planning software (e.g., TripleSeat, Social Tables). Stay informed about and adopt future platforms or updates as implemented. Use technology to streamline workflows produce event documents and visualize layouts. Additional Responsibilities Perform other duties as assigned by the VP, Convention Center Services. Special projects as needed. Qualifications Education & Experience Bachelor's degree in Event Management, Hospitality, Business, or a related field is preferred. Preferred to have a minimum of three years of experience in event planning, coordination, or venue operations, internships during college are included with experience. Strong knowledge of event planning tools and software. Proficient in Microsoft Office Suite and CRM systems.
