Job Description

Position Summary The Events & Membership Coordinator serves as a key ambassador for Village Beach Club, helping create exceptional experiences for event clients, members, guests, and visitors. This role combines event sales, event coordination, venue marketing, membership support, and front desk operations. The ideal candidate is highly organized, customer-focused, and passionate about hospitality. They will be responsible for growing weddings, corporate events, nonprofit functions, meetings, retreats, social gatherings, and private event business while supporting membership engagement and delivering outstanding guest service. Key Responsibilities Event Sales & Coordination Serve as the primary point of contact for wedding, corporate, nonprofit, social, and private event inquiries. Respond promptly to leads generated through phone calls, email, website inquiries, social media, and referral partners. Conduct venue tours and consultations with prospective clients. Prepare event proposals, budgets, estimates, and contracts. Guide clients through menu selection, beverage packages, event layouts, timelines, and venue logistics. Prospect and develop opportunities for corporate retreats, team-building events, nonprofit fundraisers, galas, board meetings, community events, holiday parties, celebrations, and other special events. Coordinate with culinary, operations, and management teams to ensure successful event planning and execution. Maintain event calendars, lead tracking, and sales pipelines. Act as the venue representative and primary on-site contact during weddings and private events. Coordinate venue operations, vendor access, facility setup, and client needs to ensure a seamless event experience. Conduct post-event follow-up and assist with client feedback and relationship management. Work toward annual event revenue and booking goals. Venue Marketing & Business Development Promote Village Beach Club as a premier destination for weddings, corporate events, nonprofit gatherings, fundraisers, meetings, retreats, celebrations, and special events on the Outer Banks. Develop relationships with wedding planners, event professionals, local businesses, chambers of commerce, nonprofit organizations, tourism partners, photographers, rental companies, and other referral sources. Assist with social media content, website updates, promotional materials, and event showcases. Participate in bridal shows, networking events, community outreach opportunities, and sales initiatives. Identify and pursue new business opportunities within the wedding, corporate, nonprofit, and social event markets. Membership & Guest Services Serve as a welcoming first point of contact for members, guests, and visitors. Answer member inquiries regarding memberships, amenities, events, programs, and club policies. Assist with membership sales, renewals, upgrades, and account support. Process guest check-ins, membership verification, and wristband distribution. Manage incoming phone calls, emails, and guest requests. Assist with reservations, cabana bookings, activity registrations, and special events. Resolve member concerns professionally and proactively. Maintain a clean, organized, and professional front desk environment. Administrative Responsibilities Maintain accurate client, member, and event records. Prepare reports related to event sales, booking activity, and membership engagement. Support invoicing, deposits, payments, and event documentation. Assist with operational projects and special initiatives as assigned. Qualifications 2+ years of experience in hospitality, event coordination, sales, member services, customer service, or a related field. Strong communication and relationship-building skills. Excellent organizational and project management abilities. Ability to manage multiple projects and deadlines simultaneously. Professional, polished, and service-oriented demeanor. Proficiency with Microsoft Office Suite and CRM, event management, or membership software. Experience in weddings, hospitality, private events, country clubs, resorts, restaurants, or membership organizations preferred. Ability to work evenings, weekends, and holidays as business demands require. Desired Characteristics Highly organized and detail-oriented. Self-motivated and results-driven.
