June 17, 2026 Job Overview This position provides clerical and administrative support to the Statesville Event Center. Responsibilities include assisting with event documentation, client communication, scheduling support, records management, and general office operations. This role supports event coordination efforts and ensures accurate record keeping and compliance with City policies and procedures. NOTE:
Employee may be required to respond to a disaster, either natural or man-made, to serve the citizens of Statesville and meet the needs of the organization, which may result in the assignment of other duties and take precedence over duties described in this job description. This job description is not intended to be all- inclusive. Maintain and organize event files, including contracts, workorders, permits, and supporting documentation. Assist with processing facility rentals, including preparing contracts, collecting required documents, and tracking deposits and payments. Support client communication by responding to inquiries, providing general facility information, and assisting with event-related questions. Assist in preparing event documentation, including work orders, setup sheets, and internal communication materials. Maintain accurate records in applicable systems, including event scheduling software and digital filing systems. Perform data entry and ensure accuracy of event details, client information, and scheduling updates. Coordinate administrative aspects of event preparation, including linen counts, equipment tracking, and supply inventory. Assist with onboarding and training materials for part-time staff, including maintaining records and documentation as needed. Support event coordination efforts, which may include limited on-site assistance, set-up coordination, and event-day administrative support. Maintain organization, cleanliness, and efficiency of office and storage areas related to administrative functions. Assist with planning and coordination of Event Center-hosted programs or internal functions, as needed. Provide general administrative support to Event Center staff, including document preparation, filing, and assisting supervisors. Provide occasional assistance with room setup and event preparation as needed, to support operational needs of the facility. Perform other duties as assigned. Education and/or Experience High School diploma or GED. Two (2) years of experience in general office, clerical, or records management work. Requirements Possession of a valid North Carolina driver's license, or any validdriver's license with ability to obtain a NorthCarolina driver's license within 60 days of establishinga permanentresidence in North Carolina Knowledge, Skills, and Abilities Abilitytohandleconfidentialandsensitiveinformation appropriately. Strongorganizational, multitasking,andcustomerservice skills. Generalknowledgeofstandardofficeandcomputer equipment. GeneralknowledgeofMicrosoftOfficeandscheduling systems. Job Related Physical Requirements This position involves sedentary work requiring the exertion of 10 poundsof force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push,pull, orotherwise move objects. Sedentary work involves sitting most of the time. Jobsare sedentary ifwalking and standing are required only occasionally and all other sedentary criteria are met; vocal communication is required to express thoughts and exchange information; hearing is required to respond to spoken words, to receive and understand information; visual acuity isrequired for preparing and analyzing written or computer data, operation ofoffice equipment, determining the accuracy andthoroughness ofwork, and observing general surroundingsandactivities.
