Job Description

Position Summary:
As the Events Coordinator, your primary responsibility is to plan, coordinate, and execute Forsyth Humane Society's community events and outreach activities. This role focuses on event logistics, vendor coordination, community participation, and creating positive experiences that increase public awareness of FHS's mission and programs
Essential Functions and Job Responsibilities:
Community Event Planning & Execution:
  • Plan and coordinate community events, outreach activities, adoption promotions, and other public-facing programs that support Forsyth Humane Society's mission.
  • Develop event timelines, task lists, and logistics plans to ensure the successful execution of each event.
  • Coordinate event details, including location needs, equipment, setup, breakdown, signage, materials, and volunteer support.
  • Serve as the on-site lead for assigned events, ensuring a professional, welcoming, and organized experience for attendees, staff, volunteers, and partners
Vendor & Community Engagement:
  • Recruit, schedule, and coordinate vendors, exhibitors, and community partners for participation in FHS events.
  • Act as a primary liaison between FHS and local businesses, community groups, and event participants to support strong community involvement.
  • Maintain positive working relationships with vendors and partners, ensuring timely communication and clear expectations for each event.
  • Identify opportunities for FHS to participate in community events to increase visibility and strengthen community connections.
Event Operations & Administration :
  • Maintain an annual calendar of community events, outreach activities, and related deadlines.
  • Track event participation, vendor involvement, attendance, supplies, and operational outcomes.
  • Coordinate event materials and ensure all forms, permits, waivers, and documentation are completed as needed.
  • Work collaboratively with internal teams to support event promotion, staffing, and operational readiness
Performance Metrics & Success Indicators:
  • Successful planning and execution of assigned community events and outreach activities.
  • Growth in community participation, vendor involvement, and partner engagement across events.
  • Timely completion of event logistics, calendars, communications, and follow-up documentation.

  • Experience coordinating events, community programs, outreach activities, or public-facing initiatives, preferably in a nonprofit setting.
  • Strong organizational and project management skills, with the ability to manage multiple events and deadlines simultaneously.
  • Excellent verbal and written communication skills, with the ability to work effectively with vendors, volunteers, staff, and community partners.
  • Ability to problem-solve quickly and maintain professionalism in fast-paced event environments.
  • Proficiency in Microsoft Office and comfort working with shared calendars, event checklists, and tracking systems.
  • Ability to work occasional evenings and weekends as required for event support

Pay:
$17.31 - $18.30 per hour
