Job Description

Caldwell University invites applications for a full-time Events Coordinator. Reporting to the Chief of Staff, the Events Coordinator is the creative and logistical engine behind Caldwell University's most impactful gatherings. From high stakes commencement ceremonies and alumni galas to intimate faculty lectures and student orientation events, the Events Coordinator will ensure that every event reflects and builds upon the university's reputation and community spirit. Job duties include, but are not limited to: End to
End Planning:
Lead the conceptualization, planning and execution of a diverse portfolio of university events (10-500+ attendees).
Logistics Management:
Coordinated venue booking, catering, AV requirements, security and transportation.
Stakeholder Liaison:
Act as a primary point of contact for internal departments (Facilities, Food Service, Marketing) and external vendors.
Budget Oversight:
Develop and maintain event budgets; process invoices, track expenditures, and ensure that all programs remain cost-effective.
Marketing & Communications:
Collaborate with the communications team and other offices as needed on invitations, branding, registration platforms, and promoting events via social media and campus news.
On-site Execution:
Oversee event setup and breakdown, managing student workers and volunteers to ensure seamless operations and immediate problem-solving.
Post-event Analysis:
Conduct debriefs, analyze attendee feedback, and provide data-driven reports to leadership for future improvements. Bachelor's degree in Communications, Hospitality, Marketing, Public Relations or a related field required. Candidates should have 2+ years of professional event planning experience. Higher education experience is a major plus.
