Job Description

The Wedding Coordinator at The Grove at Centerton is the liaison between the client and the property's operations. The Wedding Coordinator is responsible for collecting the couple's needs and desires and effectively communicating them to the property's operations department heads via the banquet event orders and clear communication.
Duties/Responsibilities:
Coordinate all details of wedding. Clearly understand the properties' product, site features, and amenities to field all questions posed by prospective guests. Maintain a detailed banquet event order (BEO) for all upcoming weddings, sending out updates of BEO's weekly, and as changes by client are made. Coordinate detailed meetings with clients to discuss in detail all necessary information for day of the event. Respond to communications in a timely manner to all clients, vendors, & internal operations. Responsible for obtaining timely & correct final payments from clients, in addition to processing financials for event. Data entry for all details into Event Management System. Be present at events to ensure that the banquet event order is followed as written. Coordinate with vendors such as florist, photographers, musicians, etc. to ensure all details are correct. Organize & sell ancillary events to booked clients. Arranging & set up of necessary event supplies & equipment for day of event. Maintain an open line of communication to all internal and external guests. Other duties as assigned.
Position Requirements:
The ideal candidate will possess the following
Knowledge, Skills and Abilities:
Technical Skills:
We require 1-2 years of experience with providing world-class guest service and banquet event planning, meeting or exceeding all guest satisfaction goals and benchmarks, meeting with guests to discuss their requirements, and coordinating all aspects of events with banquet and operations teams.
Customer Service and Professionalism:
Proven experience serving as a role model and setting the standard for all staff to maintain high-quality and consistent customer service.
Priority Assessment:
Must evaluate current practices and processes; immediately recognize potential areas of conflict; and suggest ways to improve current business methods, quality of products and services provided.
Influence:
Understanding of room types, products, amenities, guest needs. Meets with clients and support sales team as necessary. Must possess superior experience and remain current in sales methods.
Communication:
Commitment to details both verbally and non-verbally and ability to encourage cooperative and consistent levels of communication with the kitchen staff, front-end staff and management. Must understand instructions, read written company information and communicate with little or no additional direction.
Interpersonal Relationships:
Ability to adapt to different personalities of guests, staff and outside vendors without losing focus. Must possess high professional ethics and avoid extreme familiarity or conflicts with others.
Conflict Management:
Capacity to recognize problems when they arise and be able to resolve them appropriately by using good judgement, tact, and initiative according to company policy and procedure. Requires unbiased communication skills to handle all types of conflicts that will occur at all levels of supervision and the ability to negotiate effectively.
Perform General Physical Activities:
Ability to perform physical activities in a variety of environmental conditions that require moderate to maximum strength including climbing, lifting, balancing, walking, handling materials.
Flexibility:
Must be available to work overtime when needed, assist with the workload of others, and perform other duties as assigned.
