Job Description

Penthouse 45 is a premier event venue with panoramic views of the Hudson River and the New York City skyline. The penthouse is designed to host private industry screenings, product launches, networking events, corporate gatherings, photo shoots, cocktail receptions, and social celebrations. Supported by state-of-the-art amenities, customizable event layouts, and a dedicated hospitality team, Penthouse 45 has become one of New York City's most sought-after venues for memorable and elevated experiences. The venue has welcomed an impressive roster of clients, including Dolce & Gabbana, MrBeast, Amazon, Hermès, and many other leading brands, creators, and organizations. Position Overview Penthouse 45 is seeking a highly motivated, organized, and client-focused Event Coordinator to oversee venue sales, event planning, and event execution. This role combines hospitality, event management, sales, marketing, and operations, making it ideal for a candidate who thrives in a fast-paced environment and enjoys wearing multiple hats. The Event Coordinator will serve as the primary point of contact for clients from initial inquiry through post-event follow-up, ensuring exceptional service and flawless execution at every stage. The ideal candidate is entrepreneurial, detail-oriented, proactive, and passionate about creating unforgettable experiences while helping grow the business. Key Responsibilities Manage all inbound venue inquiries, client communications, and event bookings for corporate, social, nonprofit, and private events. Serve as the primary liaison for clients from initial inquiry through planning, execution, and post-event follow-up. Conduct venue tours and site visits, develop proposals and estimates, negotiate contracts, and support sales efforts to increase bookings and revenue. Coordinate all aspects of event planning, including timelines, BEOs, floor plans, rentals, vendor management, catering logistics, décor, staffing, and audiovisual requirements. Oversee the successful execution of multiple events simultaneously while maintaining exceptional attention to detail and client satisfaction. Coordinate on-site event operations, including setup, breakdown, guest flow, vendor load-ins, and troubleshooting as needed. Maintain contracts, client records, event documentation, and sales activity using Tripleseat and CRM platforms. Monitor client billing, vendor payments, and contract compliance to ensure accuracy and timely processing. Collaborate with internal teams, preferred vendors, and external partners to ensure seamless communication and event alignment. Assist with marketing initiatives, including social media management, email newsletters, promotional campaigns, content creation, and lead generation efforts. Support website updates and brand presentation to increase venue visibility and drive new business opportunities. Ensure adherence to venue policies, safety standards, and operational procedures for all events. Identify opportunities to improve the client experience, streamline operations, and contribute to the continued growth of Penthouse 45. Qualifications Strong event planning and project management skills with the ability to coordinate complex logistics and multiple priorities simultaneously. Exceptional interpersonal, organizational, and communication skills. Proven customer service and relationship-building abilities with a hospitality-first mindset. Experience supporting sales efforts, conducting venue tours, preparing proposals, and closing business. Ability to support multiple levels of catering and event services within a dynamic environment. Strong problem-solving skills and the ability to remain calm under pressure. Hardworking, resourceful, and proactive with a hands-on approach and passion for hospitality and events. Ability to communicate effectively with clients, vendors, co-workers, and senior management. Proficiency with Microsoft Office, Google Workspace, Tripleseat, CRM systems, and event management software preferred. Pay:
$60,000.00 - $70,000.00 per year
