Job Description

Job description: We are a weddings and events venue and are currently seeking a personable, detail-oriented Event Coordinator . Applicants should have sales and event experience, guest service experience, and a passion for high-end hospitality. Experience with any Client Management Software is helpful but not required. The ideal candidate will be upbeat with a positive and flexible attitude; work well in a fast-paced environment; exhibit a calm confidence and ability to prioritize key tasks; be able to handle unexpected situations with elegance and finesse; and display excellent verbal and written communication skills. Job Responsibilities include (but are not limited to):
Client/Sales:
Respond to sales inquiries in a timely manner and convert to sales: answering phone calls and e-mails, scheduling meetings/tours, conducting planning meetings Generate proposals, contracts, invoices and banquet event orders Maintaining accurate and updated records of all client requests, needs and specifics as it relates to the planning and event execution process. Coordinate all aspects of the client's experience at the property, schedule and manage menu tastings, create room diagrams based on the client's preferences, create the banquet event order, and collect advance deposits and final payments in accordance with established policies. Assist clients with what is offered for rentals, recreational activities, transportation, entertainment, and other requests to create overall positive experiences. Ensure client and guest experience expectations are exceeded. Handling of customer complaints and rectifying problematic situations. Fully oversee the logistics and execution of all functions, which may include: client walk-throughs; vendor approvals & walk-throughs; coordinating with other internal departments; coordinating load-in/out, timeline/run of events, and technology, timeline, etc.) to ensure BEO specifications are being met and no detail is falling through the cracks ensuring all rules are followed by all parties; supervision of all beverage distribution; as well as any other responsibilities required of the venue.
Day of Event:
Coordinating, planning and executing weddings and private events from start to finish Work directly with internal and external clients to ensure all specified details are being adhered to during the event. Serving as a main point of contact for all events. Coordinating and monitoring day of event set-up and execution (e.g., tables, food & beverage items, décor) Direct and assist event staff throughout the event Supervise cleanup and breakdown of function, not only with your team but also by the outside vendors.
Other:
Be responsible to order and account for all equipment and supplies. Oversee event bar services, inventory, and ordering of all beverages. Minimize legal liability and conform to the regulations of the alcohol beverage authority. Prepare daily, weekly and monthly reports as required. Identify opportunities for improvement/innovation within the operation and develop creative solutions. Demonstrate the highest level of sanitation standards for Country Lakes and outside caterers by adhering to all Cuyahoga County Department of Health practices. Perform other related duties, tasks, and responsibilities as required from time to time.
Applicants must display:
Professional attitudes and appearance. Knowledge of event operations and hospitality. Excellent verbal and non-verbal communication skills presented in a caring and compassionate manner. The ability to prioritize, multitask and manage time effectively. An attention to detail and strong organizational skills. An eagerness to grow and improve your skill-set and performance. The ability to assess situations and problem-solve to find effective solutions should challenges arise. Familiarity with the wedding and/or event planning industry. The ability to build and maintain the highest level of relationships with clients, vendors, guests, and our existing team. High self-motivation and strong initiative. Education and Experience Associates or bachelor's degree in event management, business, hospitality or related field of study is preferred • or Minimum of two years' experience in wedding and event management/
Food and Beverage Preferred:
Experience working at other wedding/event venues Experience working with CRM systems, Microsoft Office (Word, Excel, Outlook), and floorplan software. ServSafe and TIPS (alcohol serve certifications). Food and Beverage Bartending experience
