EVENT ASSISTANT GENERAL PURPOSE
Under the direction of the Event Manager, the Event Assistant is responsible for assisting the Event Manager in coordinating, organizing, managing, and supervising events at Meadowbrook at Clayton Banquet Facility.
ESSENTIAL FUNCTIONS OF THE POSITION
Provides assistance to customers, residents, vendors, employees, and the public. Meets with clients providing them with information, giving tours of the facility and grounds. Answers phone calls, emails, and returns messages. Follows up with potential leads. Assists in making reservations and completes contracts for facility use including the Facility Rental Agreement and Rules and Regulations. Assists in maintaining facility calendar. Assists with social media campaigns. Collects payment and provides receipts for facility rentals and bar services. Meets with contract contacts to discuss their needs and gain an understanding of the event's purpose and goals. Attends scheduled events to coordinate vendors and clients and troubleshoot/problem solve any issues that arise. Assists bartenders at scheduled events. Follows up with clients after events to complete review/evaluation of event. Assists with the set-up and tear-down of events. Operates standard office equipment including telephone, computer, printer, copier, etc. Works a flexible schedule that includes evenings and weekends.
OTHER DUTIES AND RESPONSIBILITES
Assist with maintaining inventory of equipment and supplies. Assist with Snack Bar operations and bartending duties as needed. • Perform other duties as assigned.
MINIMUM QUALIFICATIONS
Any combination of education and experience with a minimum equivalent to graduation from high school, 21 years of age, and one year of increasingly responsible experience in event planning, event management, coordinating events, and/or customer service. Necessary Knowledge, Skills and Abilities • Knowledge in event planning and customer service. • Knowledge of occupational hazards and corresponding safety practices necessary for the safe performance of work duties. Skill in communicating verbally and in writing. Organizational skills, including multitasking, time management, and meticulous attention to detail. Ability to work variable hours and days. Ability to establish and maintain effective working relationships with city officials, supervisory personnel, fellow employees, and the general public. Ability to problem solve. Ability to understand and follow instructions and specifications. Ability to understand verbal and written instructions.
