The Wedding & Event Coordinator plays a pivotal role in bringing each couple's vision to life by executing seamless, unforgettable events that reflect the highest standards of service and excellence. Serving as the primary point of contact in the final stretch of the planning process, this role leads the 30-day Final Detail Appointment to confirm timelines, vendor logistics, and all event specifics. With a strong eye for detail and a passion for hospitality, the Wedding & Event Coordinator ensures that every element — from décor to day-of execution — aligns perfectly with the couple's expectations. This position requires exceptional organization, communication, and problem-solving skills, ensuring each celebration unfolds flawlessly and every guest experience exceeds expectations. The ideal candidate thrives in fast-paced environments, remains calm under pressure, and takes pride in transforming detailed plans into extraordinary, once-in-a-lifetime moments
Key Responsibilities:
Leadership & Team Development Provide mentorship and guidance to the coordination team to ensure consistent event quality and adherence to BTTS standards Promote team culture that reflects BTTS core values and fosters collaboration Event Execution & Client Communication Understand the nuances and expectations of each BTTS venue Collaborate with clients at their final detailing phone call to plan, detail, and execute their wedding or event Oversee event setup and execution, serving as the point of contact during events on assigned weekends Ensure all event details and invoices are accurately entered and maintained within management software Confirm payments are collected from clients when due Vendor & Venue Relations Maintain positive, professional relationships with BTTS vendors and venue partners Collaborate with internal departments to ensure smooth event operations and consistent standards of excellence Support facility care and presentation, ensuring each venue is event-ready Process & Quality Improvement Identify opportunities for operational improvements and contribute to the evolution of coordination processes Serve as a liaison between coordinators and leadership to communicate challenges and propose solutions Assist with development and implementation of new systems and best practices
Qualifications:
Experience in event coordination, leadership, or hospitality required Strong organizational, communication, and mentoring skills Ability to manage multiple events, clients, and team members simultaneously Proficient in event management software and other digital tools Calm and solutions-oriented under pressure Commitment to
