Event Coordinator Bethany Children's Health Center - 4.4 Bethany, OK Job Details 8 hours ago Benefits Tuition reimbursement Qualifications Bachelor's degree Full Job Description The Event Coordinator will support and elevate the growing number of events across Bethany Children's Health Center by serving as the central point of coordination for planning, communication, and execution. This role ensures that events hosted by Corporate Communications, the Foundation, Community Engagement, and other departments are well-organized, aligned with institutional goals, and executed consistently and professionally. The Event Coordinator will collaborate with staff across the hospital, provide creative and logistical guidance, lead communication planning, and ensure all stakeholders are aligned on timelines and responsibilities. The role enhances employee engagement, donor and community experiences, and the overall quality of the event.
Duty Percent of Time Event Coordinating and Planning:
Serve as the central point of coordination for events across Communications, Foundation, and Community Engagement. Lead planning meetings, create timelines, assign responsibilities, and ensure all stakeholders remain aligned. Advise teams on event feasibility, creative approaches, and resource needs. Support major events by coordinating internal signage, run-of-show, vendor communication, and cross-departmental alignment. Collaborate with the Hospitality team regarding room aesthetics, signage, and general environment while leaving catering, booking, and room logistics under Hospitality. 40%
Internal Department Event Support:
Stay informed about internal events led by departments such as Education, Therapy, and ARFAC. Ensure Communications is aware of events requiring staff communications, family notifications, marketing needs, or photography. Coordinate with Security for parking communication and signage. Provide teams with marketing kits, templates, and creative guidance to help them promote their own events effectively. 25%
Communication, Planning, and Coordination:
Work directly with the Communications writer to draft internal and external messaging related to events. Prepare communication timelines and ensure all messaging is delivered on schedule. Ensure alignment across Communications, Marketing, Security, IT, Hospitality, and Foundation teams regarding event details. 20% Sponsorship and External Engagement Support Support Community Engagement team in procuring event sponsorships by identifying potential partners, coordinating with Communications on promotion, and working with host departments to identify contacts. Should feel comfortable initiating sponsorship conversations with potential partners as needed. Ensure sponsor benefits and recognition needs are communicated and fulfilled. 10% Other duties as assigned 5%
Education:
Bachelor's degree in communications, marketing, hospitality, public relations, event management, or related field required.
Experience:
Experience coordinating events or projects involving multiple stakeholders. Experience working within communications, marketing, or hospitality teams is preferred. Experience in healthcare, nonprofit, or community engagement is preferred.
License/Certification/Credential:
