The Catering & Events Coordinator's primary responsibility is to book, coordinate, and work our catering and internal events--ensuring that the service or event (internal or external) runs smoothly and efficiently. This position will involve some nights and weekends, depending on the event schedule. Flexibility is a must. As this position involves the delivery and set up of offsite catering events, this position also requires a valid driver's license, the ability to lift and carry up to 40 pounds, and the ability to traverse stairs. Here are the specifics Catering & Events Coordinator Position Summary Community Kitchen Pittsburgh is seeking a highly organized, customer-focused Catering & Events Coordinator to serve as the primary point of contact for catering and food truck customers. This position manages the customer experience from initial inquiry through event execution, coordinates catering and food truck scheduling, supports event operations, and maintains key sales and marketing systems including Toast POS and website updates. The ideal candidate is an excellent communicator, detail-oriented project manager, and team player who enjoys working with customers, coordinating logistics, and supporting mission-driven food service operations. Key Responsibilities Catering Sales & Customer Service Serve as the first point of contact for all catering inquiries via phone, email, website, and online platforms. Respond promptly to customer requests with menu recommendations, event guidance, pricing, and customized proposals. Prepare catering estimates, invoices, and event documentation. Enter and maintain customer and event information within the organization's catering management platform. Follow up with prospective and existing customers to secure bookings and ensure customer satisfaction. Coordinate catering logistics with kitchen, delivery, and event staff. Catering Operations & Scheduling Manage the catering calendar and event schedule. Ensure accurate communication of event details to kitchen and operations teams. Assist with catering deliveries and event execution as needed. Food Truck Coordination Manage inquiries and booking requests for the Community Kitchen Pittsburgh food truck. Coordinate scheduling and logistics with the Food Truck Manager. Prepare contracts, invoices, and event documentation for food truck engagements. Track food truck booking fees, deposits, payments, and revenue. Events & Front-of-House Support Assist with planning, setup, coordination, and execution of onsite events. Serve as front-of-house staff during events, providing exceptional customer service. Assist with event logistics including room setup, signage, vendor coordination, and guest experience. Support community events, fundraising activities, and special programs as assigned. Systems, Website & Menu Management Update and maintain menu offerings, pricing, and products within Toast POS. Create and update menu items, modifiers, packages, and event offerings in Toast. Maintain catering and food truck information on the organization's website. Update website content related to menus, services, events, and promotional offerings. Assist with online ordering, ecommerce, and customer-facing digital platforms. Administrative Responsibilities Maintain organized records of bookings, contracts, invoices, and customer communications. Generate reports related to catering sales, food truck revenue, and event activity. Support departmental planning, budgeting, and operational improvements. Assist with additional administrative and operational tasks as assigned. Qualifications Required Excellent customer service and communication skills. Strong organizational and project management abilities. Ability to manage multiple projects and deadlines simultaneously. Proficiency with Microsoft Office and Google Workspace. Experience working with scheduling, CRM, POS, or event management software. Ability to work evenings, weekends, and special events as needed. Valid driver's license and ability to assist with deliveries and event transportation. May need to use personal vehicle (mileage reimbursement provided). Preferred Experience in catering, hospitality, event management, food service, or nonprofit operations. Experience using Toast POS. Experience managing website content (WordPress or similar platforms). Knowledge of invoicing, sales tracking, and customer relationship management systems. Experience coordinating food trucks, catering operations, or special events. Physical Requirements Ability to lift and carry up to 40 pounds. Ability to stand, walk, and work on-site at events for extended periods. Ability to assist with event setup, breakdown, and catering deliveries.
