POSITION SCHEDULE
: 20 hours per week. Days / times vary depending on events. SUMMARY The Event Coordinator will be responsible for the logistical and operational execution of events and office administration.
THE ROLE
The Event Coordinator serves on the experience team and reports directly to the Experience Director. This role provides everything from booking events at ACAC to negotiating with vendors, ACAC kitchen personnel, and managing event budgets and overseeing day-of logistics. This is a vital role for someone passionate about both excellence in connections with congregants, employees, and customers wanting to use ACAC facilities for various purposes. Our facilities are open seven days a week, serving as a hub for ministry, community events, outreach, and care.
PRIMARY RESPONSIBILITIES
Campus Hospitality and Facility Use Assist in creating a loving and welcoming presence for all who enter ACAC campus facilities. Liaison and partner with all facility resource users working together in community to enable God's love to be shared. Administrator of event scheduler software (eSpace). Primary approver of all campus facility resource use requests, including space, vehicles, parking, equipment. Coordinate multiple ministry events; ensure there are no conflicts. Initial and ongoing eSpace user training. Assist in creation and updating building use leases in coordination with the Facilities Director and Business Director. Ensure the campus/rooms are ready for the ministry and community events. Facility & Risk Management Review, prioritize, and assign maintenance/construction work orders in eSpace Notify Facilities Director to schedule HVAC system or any other systems according to eSpace ministry needs. Administrative Coordination Develop and manage event budget Provide ongoing training for all staff on programs to keep their skills sharp: eSpace, phones, cameras, postage machines, etc. Maintain and order standard ministry office, postage machine, first aid supplies, etc. Working with the Kitchen Manager, create and submit to the finance department, stock & catering monthly reports, and invoicing reports in a timely manner as needed. Customer Service / Vendor Management Manage event relationships and needs with ACAC kitchen, production, facilities director, custodians, security, communications department, and receptionists.
Logistics & Scheduling :
Create detailed event timelines, production schedules, and room layouts to ensure flawless execution for the customer.
Budgeting :
Calculate costs, track expenses, process payments while working to stay within the client's established budget. Ensure proper and timely payment for events.
Communication :
Ongoing communication with the customer to ensure all plans are summarized and understood to fully prepare for all events in regard to any ACAC department being impacted.
Day-Of Execution:
Arrive on-site early to direct setup crews, troubleshoot needs in real-time, and ensure the event runs smoothly.

QUALIFICATIONS 2-4
years of hands-on event planning or similar experience. Have a personal relationship with Jesus Christ Model spiritual leadership and lifestyle consistent with the Bible and the beliefs of ACAC Must be proficient in MS Word, Excel, Outlook, etc.
PREFERRED QUALIFICATIONS 4
years of event planning. Associate's degree in business, accounting, or marketing.
PHYSICAL REQUIREMENTS
Standing. Particularly for sustained periods of time (up to 4 hours).
