Job Description

The Southern Wisconsin Land Conservancy (SWLC) is a charitable land trust founded in 2018 with a Board of Directors. SWLC works with landowners throughout rural southern Wisconsin to protect the scenic, natural, and cultural values of their forest, prairie, wetland, and working agricultural lands, and to help with planning to restore land health and quality of life for present and future landowners and for the surrounding watershed community. SWLC currently holds conservation easements on 408 acres of privately owned land. SWLC owns and administers the restoration and management of Sunny Peace Prairie (SPP) and Three Waters Reserve (TWR) lands and facilities. SPP is a former agricultural site that has been restored to native prairie for public recreation. TWR is a former 57-acre golf course that has been restored to natural habitats and protected to provide ecosystem services and allow the public to enjoy access to passive nature programming www.threewatersreserve.com. TWR operates as an Event Center for private and public events. Additionally, TWR is home to the Lower Sugar River Field Station, administered in partnership with the Lower Sugar River Watershed Association (www.lsrwa.org). The LSR Field Station supports research and educational programming at TWR and throughout the 300-square-mile Lower Sugar River Watershed. SWLC is seeking to hire an Event Coordinator. The position and duties of the Event Coordinator will be to enhance the experience of all who book the use of our event center and to act as the front face for SWLC's event venue, Three Waters Reserve. Outlined below are areas of work and key responsibilities of what the position entails for the Event Coordinator. In addition to the outlined responsibilities below, there may be other duties or tasks designated as needed. The Event Coordinator will report to the Executive Director of SWLC on a regular basis and to the Board of Directors as needed. The Event Coordinator will also collaborate with the Kitchen Manager when needed for event food needs. There may be special projects that require the Event Coordinator to report to a member of the Board of Directors. Administrative Monitor TWR event email, respond to event tour request Provide tours to potential clients Monitor online platforms for inquiries, Wedding Pro, The Knot, Eventective, Wedding Wire, etc Execute contracts with clients Events Attend public/private events as needed/available to aid in event execution and take photos to be used in marketing initiatives Work with clients for private event organization Vendors Establishing and maintaining relationships with vendors Develop preferred vendor list with Marketing Director to share with clients Reporting Report to BOD on outcomes of tours, feedback from guests, status of event bookings Qualifications, Skills, and Experience Associates or Bachelors in related fields such as Hospitality Management, Event Logistics, Vendor Logistics, Business, Public Relations, Marketing, Communications, etc. Must be able to travel around the SWLC service area and attend special events and monthly board and team meetings, both virtually and in person. Must be able to come to Three Waters Reserve on a regular basis to provide tour to clients. Applicants should have organizational management, excellent written and verbal communication, and intrapersonal skills; display a positive attitude with concern for people, community, and the natural environment; and have familiarity with vendor management, contract negotiation, and risk management. 2-3 years of experience in event planning, hospitality, or related fields is required. Knowledge of Google Suite (Drive, Docs, Sheets) and virtual meeting platforms (e.g., Google Meet, Zoom) is expected. Part-time, Flexible. Starting at $20-$25 per hour. Approximately 5-10 hrs per week, more when events are happening and in times with more tours. Remote work options with a physical office located at Three Waters Reserve. Pay:
$20.00 - $25.00 per hour
