Weekends required (tournaments/events), weekday planning hours About TBFS Inc. TBFS Inc. operates a turnkey youth sports fundraising/concessions program ("TBFS HOOPS") serving fresh fruit bowls and bottled teas at events across the Atlanta Metro area. We handle staffing, setup/teardown, payments, and professional on-site execution. Position Summary We're hiring an Event Coordinator to lead day-to-day coordination for our fundraising event activations . You'll manage bookings and partner communication, prepare event logistics, support on-site execution, and track post-event results. Responsibilities Event Booking & Partner Coordination Contact leagues, gyms, and tournament organizers to secure approvals and bookings Follow outreach scripts (DM/email/text/calls) and maintain organized follow-up Send/track sponsor request + event director packet materials Confirm event details: location, times, load-in instructions, vendor rules, POC Event Planning & Logistics Maintain an event calendar and weekly execution plan Coordinate staffing schedules and confirmations Prepare event checklists (inventory, supplies, equipment, signage, payment tools) Ensure cold-chain and basic food safety standards are followed On-Site Event Support Support booth placement, setup/teardown, and operational readiness Confirm payment systems (card/QR/cash) and signage/QR are working Troubleshoot issues with organizers, access, supplies, and staffing Inventory & Materials Coordination Track product needs per event (fruit bowls + teas) and restock triggers Coordinate supplies (cups, lids, napkins, gloves, ice, tables, banners, etc.) Maintain readiness of coolers, tables, POS devices, and signage Reporting & Performance Collect sales totals and submit basic recap reports after events Track leads and future booking opportunities from each event Maintain outreach tracker status (booked / pending / follow-up) Bonus Eligibility (Performance-Based) Bonuses tied to: Successful monthly event execution count New bookings secured (especially multi-date partnerships) Operational quality + on-time reporting Requirements Reliable transportation and ability to travel locally Weekend availability required Strong communication (text/email/calls) and organization Comfortable lifting/moving event supplies (tables/coolers) Event/hospitality/fundraising/sports experience is a plus How to Apply Submit your resume and include: Availability (weekdays/weekends) Confirmation of reliable transportation Best contact number
Pay:
$16.00 - $18.00 per hour Application Question(s): Do you have reliable transportation to travel to event locations across the Atlanta Metro area (including early load-in times)? Are you available to work most weekends (Saturday and/or Sunday), which is when the majority of events take place? Can you reliably arrive on-site for early setup times (often morning) and stay through teardown (sometimes evening), depending on the event schedule? Are you comfortable lifting and moving event supplies (e.g., tables, coolers, cases of product) as part of setup/teardown? What is your weekly availability for weekday planning/coordination hours (Mon-Fri)?
